How do I set up the challan print settings — copies per page, copy names, note, footer, bank logo and student photo?

Where in EDUBase: Admin › Challan Settings

Last updated

Admin › Challan Settings holds one print profile per campus: how many copies print on a page, what each copy is called, the note and footer text, the bank logo and whether the student's photo prints. Press Create for a campus that has none; use Update on a row to change it and View to read it.

Steps

  1. Go to Admin › Challan Settings and press Create (the button appears only if your user has the create right for this screen)
  2. Pick the campus and enter No. of Copies Per Page — the Create button stays grey until both are filled
  3. Write the Challan Note and the Footer (both are rich text)
  4. Optionally upload a bank image (JPG or PNG), tick Student Photo, and name the copies (Firstcopy… Forthcopy)
  5. Leave Use Consumer Number From on Challan unless your bank integration was set up the other way — see below
  6. Press Create; to change it later open the row's Update button

What the settings do at print time

  • Copies: the standard vertical challan prints at most 4 copies. Copies you leave un-named get the defaults Student Copy, Office Copy, Bank Copy, 4th Copy (the horizontal format calls them 1st Copy, 2nd Copy, 3rd Copy). If you leave the number empty, 3 print — on the vertical challan, as many as you named if you named any. The Pay/Print screen can override the count for one print run without changing this setting.
  • Challan Note prints on the challan (on the vertical challan an empty note prints "No note provided"). Footer prints at the bottom. The Header box is saved and listed, but the current print formats do not print it — put top text in the note.
  • Student Photo ticked = the child's photo prints on the challan.
  • Keep one profile per campus. If a campus somehow has two, which one prints depends on the format — delete the extra with the row's red bin (it asks for confirmation).

🔴 Use Consumer Number From

This is not a print option. It tells the bank payment link (Kuickpay, Alfalah, PayPro…) whether the number a parent pays against is the challan's number or the student's permanent number. If your bank was integrated in one mode and you flip it, every bank inquiry starts answering Invalid Consumer Number and no payment lands — with no error on your side. Only change it together with EDUBase support.

Common confusion

"One campus prints fine, the other prints plain." Each campus needs its own profile — a setting made for one branch does not reach another.

"The challan has no footer at all." Check which print route was used and which campus the challan belongs to.
