A student has disappeared from the student list — was the record deleted or the status set to Left, and who did it?

You can answer this yourself, without waiting for support.

Schools usually put it as bacha list mein nahi aa raha, student ka record gayab ho gaya — and want to know who deleted it. Almost always the record was deleted, or the student's status was changed so they no longer appear in the enrolled list. Admin › User Logging records both, with the date, the time and the person.

First look in All Students

Extras › All Students lists every status, not only Currently Enrolled. If the bacha is there with status Left, Graduated, Expelled or Duplicate Record, nothing was deleted — only the status moved, and the row's cog → Change Log shows who did it and when. Only if the child is in no list at all was it deleted.

Who did it — User Logging

  1. Open Admin › User Logging
  2. Set How serious to Critical only — deletions and status changes are both Critical
  3. Set the From and To dates around when the student was last seen
  4. Look for a line naming that student

A deletion reads "admin deleted Student (Student #482 — Ayesha Bibi)". A status change reads "admin updated Student #482 — Ayesha Bibi: Student Status changed from Currently Enrolled to Left". Delete needs the delete right on Manage Students and is refused for any student who has a fee plan, so a billed child is far more likely to have been marked Left than deleted.

Status change, not a deletion, is the more common answer

A student marked Left, Graduated, Expelled or Duplicate Record stays in the database but drops out of the enrolled lists. Press Go to it on the log line to open the student with the changed fields highlighted, and set the status back if it was wrong. See admin-009 for how the log page works.

If your school has set a seat limit under Core › Admission Capacity and switched the hold on, putting a student back to Currently Enrolled into a class that is already full is held for approval rather than taking effect at once. They appear in Admissions › Admission Approvals. Schools that have set no capacity see no change.

When to still ask support

If nothing appears in User Logging for that student, the change is older than the log's three-month window, or it was made through a path that predates logging. Send support the student's name, admission number and roughly when they were last seen.

Steps

  1. Check Extras › All Students — if the student is there, only the status changed; open the row's Change Log
  2. If not, open Admin › User Logging and filter to Critical only over the dates in question
  3. Find the line naming the student and press Go to it to see exactly what changed
  4. Only contact support if the log shows nothing
