Go to Admissions › Create Fee Plans. This is the screen to use when a student is put onto a plan — until that happens they owe nothing and no challan can be made for them. Whether it is one new admission or a whole nayi class you have just added, the work is the same screen, one student row at a time.
Common ways this is asked: "bachay ka fee plan create karte waqt kya bharna hai", "poori nayi class ke bachon ke liye plan banana hai", "naye students ko fee plan lagana hai".
Tutorial: HOW CREATE STUDENT FEE PLAN — https://youtu.be/125XCa2eaWQ
Steps
- Go to Admissions › Create Fee Plans — it lists only students who have no plan yet, with the fee plan list each was given on their admission form
- Filter to the campus, class and section you are working on — for a new class, every child in it will be listed here until each has a plan
- Press Create on the student's row — the form opens for that one child (there is no whole-class create here; a class is done row by row)
- Set With Effect From: the month their fees start; adjust any per-row discount or first-time arrears (see "What do the fields on the Create Fee Plan form mean")
- Press Create
- Generate their challan on Admissions › Generate Challan — the dues appear only after that
Does every student need their own fee plan? Is there a quicker way?
Yes — each student gets their own fee plan here, and each gets their own challan. It is quick once you are used to it: on each row you mostly just set With Effect From (the month), add a discount if that child has one, and press Create.
Do not try to put a whole family's fee on one child and zero on the others. A student whose fee is zero is never billed — the software does not generate a zero challan — so the siblings would drop out of every fee screen. Set each child's fee class-wise on their own plan; to give the family one sheet, print their challans together with Print Family Challans on Pay or Print Fee Challans, and take their payment together on Admissions › Familywise Payment. A separate single challan can still be printed for one child whenever needed.
Two different things called "fee plan"
This trips people up constantly:
- Core › Fee Plan List defines a plan — its name, which charges it contains, and what each costs. You set that up once.
- Admissions › Create Fee Plans assigns a student to one of those plans. You do this for every new admission.
If the form's fee table comes up empty, the definition side is not finished — the student's plan list is not ticked for this campus on Core › Manage Fee Plan Lists in Campus, or its charges have no amounts yet.
Changing a plan later
Use Admissions › View/Edit Fee Plans — for one student, or for a whole class in bulk. Creating a second plan for a student who already has one is not the way to change their fees.
Common confusion
"The fee heads I need are not on the screen." The charges come from Core › Fee Particulars, and which of them belong to this plan comes from Core › Fee Particulars in Fee Plan List.
"I created the plan but there are still no dues." The challan has not been generated yet. Creating the plan and generating the challan are two separate steps.
"The amounts are all zero." The plan has no amounts against its charges — set them on Core › Particulars Amount and Repeating Months.
