A newly added student has no dues and does not appear in the fee screens (naya bacha — uski fee nahi aa rahi) — why?

Because adding the student is only the first of three steps. A student with no fee plan owes nothing, so every fee screen correctly shows nothing. Naya bacha add ho gaya, uski fee nahi aa rahi, dues show nahi ho rahe, challan nahi ban raha, fee screen mein bacha mil hi nahi raha — the child is enrolled; it is almost always one of the steps below.

The three steps

  1. Add the student — Admissions › Manage Students › Add Student
  2. Give them a fee plan — Admissions › Create Fee Plans. Nothing is owed until this exists.
  3. Generate their challan — Admissions › Generate Challan. Only now do dues appear on Pay or Print Fee Challans, on the defaulter lists and in the reports.

Stopping after step 1 is the usual cause. Stopping after step 2 is the second.

A third, rarer cause: if your school uses Core › Admission Capacity and the class was full, the admission is held for approval and the student is not counted as enrolled until somebody presses Allow in Admissions › Admission Approvals. Until then they will not pick up dues.

If the plan exists and there are still no dues

Work back up the chain — a plan can exist and still charge nothing:

  • The plan is not ticked for that student's campus — Core › Manage Fee Plan Lists in Campus
  • No charges are ticked into the plan — Core › Fee Particulars in Fee Plan List
  • The charges have no amount, or no month ticked — Core › Particulars Amount and Repeating Months

A plan that reaches the last of these with every month unticked produces a challan of zero, which looks exactly like no challan at all.

It was set before and has stopped showing

"Is bachay ki fee challan mein show nahi ho rahi, pehle bhi set ki thi, dobara set kar dein" — a named child (SID or roll number and class given) whose monthly fee used to appear on the challan and now does not is a different case from a new admission. The plan was set once and something moved underneath it. Setting the monthly fee again will not bring the due back on its own; something below has to be fixed first, and then the challan generated again. The usual causes, in the order worth checking:

  • They were promoted. Batch transfer can move a child onto a different class and fee plan. Open their fee plan and confirm it is the one you expect for their new class.
  • The plan is no longer available at their campus — check Core › Manage Fee Plan Lists in Campus.
  • They were marked inactive, which takes them out of the fee screens entirely.
  • The month simply has not been generated yet for their class.

In each case the fix is the same: confirm the student's fee plan, then generate the challan for the month again. Setting the amount a second time without generating produces no due.

Also check

  • The student's with effect from date is later than the month you generated
  • The challan run covered a different class, section or campus

Common confusion

"Their sibling's fees are fine." The sibling has a plan. Fee plans are per student, not per family.

"I set the fee once already." Setting the monthly fee on the plan is not the same as generating the challan. The challan is what creates the due.
