What is Direct Payment used for — can I receive fee money without opening the challan list?

Admissions › Direct Payment is the fast counter screen. Its own note says Pay Challans By Just Entering Challan Numbers And Amounts: you do not search the list and open a row — you type who is paying and how much, one line per child, and press Pay Challan/s.

This is the screen for that, with one thing worth understanding: the money still lands on challans. Type an amount and it works down what the child owes, settling one challan after another; the last one it reaches is part-paid.

And if the parent hands over more than is owed today, nothing is left floating: EDUBase raises that student's next month's challan and puts the extra on it, month after month until the money is used up. That is what the read-only Advance Payment box is telling you.

Steps

  1. Set the Payment Date first — the screen asks for it before it lets you do anything else. It must fall inside the dates your own login is allowed, or the save answers "This paid date is not allowed"
  2. Choose how you will name the payer: Payment by SID, Payment by Roll No. or Payment by Challan No. — or switch to the family-wise side and search a Family No.
  3. Choose the Receiving Account — the cash or bank account the money is going into. It is required
  4. Type the number in the row. The child's unpaid amounts appear beside it, read only
  5. Type the Paid Amount (at least 1). Press ENTER, or Add More, for the next child
  6. Press Pay Challan/s — or Pay Challan/s & Send SMS to text the parent as well

Family-wise payments also offer a Thermal or Vertical receipt layout.

Which payment screen to use

  • Direct Payment — a queue at the counter: several children, numbers and amounts, no searching
  • Admissions › Pay or Print Fee Challans — when you want to see exactly which months and which heads are being settled before you take the money
  • Admissions › Familywise Payment — siblings together on one receipt

Common confusion

"It paid a month I did not choose." Direct Payment never asks you to pick months; it applies the money to what the child owes, in the order the challans stand.

"A fully paid challan was skipped." Correct — only unpaid and partly paid challans take money.

"It created a challan I did not generate." That is the advance: the amount was larger than the outstanding dues, so the next month was raised to hold it.

"The date is refused." Your login is limited to a range of paid dates; a super admin sets that on Users & Privileges.
