How do I set up a parent-teacher meeting (PTM) — create the event, set each class meeting's PTM Date, and publish it to parents?

PTM now has three screens under General, and they are used in this order:

  1. General › PTM Events — the whole occasion, e.g. "1st Term PTM 2026-27"
  2. General › PTM — one class's sitting inside that event
  3. Evaluation — what was said about each child

Steps

  1. Go to General › PTM Events and press New PTM Event. Give it a title, Starts on (required) and Ends on if it runs over several days, and (if you want) an academic year. It is saved as a Draft — nobody is told yet.
  2. Go to General › PTM and press Create for each class. Choose the campus, class, sections, groups, sessions and genders, the PTM Date — the day that class's meeting is held — which PTM event it belongs to, and which teachers are holding it — you can pick more than one.
  3. Go back to PTM Events and press Publish. This is the moment parents are notified in the parents app — not before.
  4. On the day, the class teacher opens the meeting (in the teacher app, or Evaluation on the web) and records for each family: who came, their contact number, what was discussed, strengths, weak areas, areas for improvement, and the subject-wise performance.
  5. General › PTM Report shows the statistics — attendance per class, which subjects came up weak, who did not come, and what parents said afterwards.

Two dates, one event

The event carries Starts on and Ends on — the window the whole PTM runs in. Each class meeting carries its own PTM Date — us class ki meeting kis tareekh ko rakhni hai — and that is the day parents and teachers see for that class. To move a class to another day, open General › PTM, press Edit and change the PTM Date; nothing else about the meeting changes.

A meeting's PTM Date is not checked against the event's dates, so a class can quietly end up on a day outside the event window. Check the dates as you create the meetings.

Two teachers in one meeting

Pick both in Teachers holding the meeting. Every teacher you add sees the meeting in their own teacher app and can record attendance, remarks and subject performance in it — they write into the same meeting, not separate copies. The first one you pick is the teacher the PTM Report names as holding it. Removing a teacher takes the meeting out of their app.

Two things that surprise schools

A meeting with no teacher assigned does not appear in the teacher app. If a teacher says they cannot see their PTM, open General › PTM, press Edit on the meeting and add them under Teachers holding the meeting. The list screen has a Teachers column, so you can see at a glance which meetings have nobody on them.

Publishing sends the notification. It cannot be undone, so build the event over as many days as you like while it is a Draft. If you do not want parents notified at all, untick Notify parents before publishing.

Who can see these screens

Each screen has its own permission in Admin › Users & Privileges, under General: PTM — Events & Settings, PTM — Meetings, PTM — Evaluations, PTM — Voice Notes and PTM — Reports. Your Super Admin holds all five and can pass any of them to other staff. Voice Notes is deliberately separate: a teacher can record a meeting without every staff member being able to listen to all of them.
