Front Desk › Register Visitor. The front desk fills this in once, and the gate never asks the visitor for their details again.
Search before you type
The first box is Find an existing visitor. Type a CNIC, a mobile number or a name. If that person has visited before, their record comes back with a count of previous visits — pick it and the form fills itself.
This matters more than it looks. A desk that retypes the same parent every fortnight ends up with four different records for one person, and then nobody can answer "how many times has this man been on our campus?" — which is the question asked after something goes wrong. Matching is on CNIC first, then mobile: people change SIM cards, not CNICs.
The fields that decide what happens next
- Meeting with / going to — the office, not the person. Every visitor report groups by this, and your school can edit the list of offices.
- Campus — the visit is filed here, and only this campus's gate screen shows it. A single-campus school never sees the question.
- Student / staff reference — optional, but it is what links the visit to the child or the member of staff it is really about.
Next procedure
- Send to gate check-in — the visitor appears on Gate Entry → Scheduled Meetings with a Check In button, and the guard types nothing.
- Register only — save it; the desk carries on.
The saved record is identical either way, so choosing one and changing your mind costs nothing.
A flagged visitor is warned about, not refused
A visitor can be marked as flagged with a reason. The desk and the gate both see a red warning — but the system never turns anyone away by itself. Refusing somebody at a school gate is your staff's decision.
Who can use it
A visitor the gate already typed in
When the guard records a walk-in at the gate, that person is already a record — you do not type them again. The top of this screen lists Already on campus today, with the gate arrivals marked From gate. Continue that visit straight into Schedule meeting, or open its profile. Re-typing the same person is what creates two records for one human being, and then no history question can be answered about either of them.
Users & Privileges → Front Desk → Visitor Registration. It is separate from Gate Entry on purpose, so the person at the gate does not get the register.
