Front Desk › Student Leave / Exit Pass is for a child who has to leave din ke beech mein — before the school day ends. The front office authorises the child to leave; the guard at the gate records the minute they actually left — ghar bhejne ka faisla daftar ka hai, gate sirf waqt likhta hai.
What you fill in
- Leave type — Short Leave, Half Day Leave, Full Day Leave or Medical Leave. Between them they cover every reason a child leaves din ke beech mein: an hour off for a dentist, a parent who has come to take the child home before time — jaldi lene aa gaye hain — or a child who is unwell and cannot sit through the afternoon. The type is a label for the record and for the history filter; none of the four touches the register.
- Reason — required. It is not only for your file: the gate and the parent both see it.
- Leaving with — Self (on foot / own transport), Father, Mother, Guardian, or Pick-up person, which offers only the people that family has already authorised, the same list kept on the student's own page. If the family has nobody on that list, add them there first.
- Expected leave time, Parent / guardian informed?, a parent contact and internal notes are optional.
Press Send to Gate for Check Out to save it. If the child already has an approved leave request covering today, the screen says so and ties the two together.
🔴 It does not mark attendance — and neither does an approved leave request
This is the part schools get wrong, and it costs them a phone call from a parent.
- Issuing an exit pass does not make the student absent, half-day or anything else.
- An approved leave request does not mark the register either. If the teacher marked the child Absent, the child is absent — and if your school charges an attendance fine, that absence is still counted and still fined.
Approving leave and marking the register are two separate actions. Mark the register where you normally mark it.
At the gate
- The student walks to the main gate.
- The guard sees them on Gate Entry → Student Exit, with the reason, who is collecting them and who authorised it.
- The guard presses Check Out. The exit time and the guard's name are recorded.
The guard cannot create a pass, only close one.
The history — every leave, not just today
Below the form, Leave & exit history lists every student leave and short leave in a date range you choose (the last 30 days to start with), with filters for leave type, status and student. Each row shows the check-out / exit time the gate recorded.
A blank check-out time is never filled in with a guess: the pass was issued and the gate has not recorded that child leaving — either they are still on campus, or the guard did not press the button.
What the screen refuses
- A second open pass for the same child on the same day. Two live passes means two people can each arrive and both look authorised.
- Cancelling a pass after the child has left. They are already off the premises.
- A pick-up person belonging to a different child.
Who can use it
Users & Privileges → Front Desk → Student Exit Pass, separate from Gate Entry. (The group was called Visitor before the module moved into the Front Desk menu — the rename took nobody's permission away.)
