Where do I see how many visitors came, and how do I change the list of offices they can be sent to?

Last updated

Three read-and-configure screens under General.

Visitor Dashboard — today

Who is on campus now, who is waiting, which meetings are running late, and a seven-day trend.

🔴 Two of the tiles will not always agree, and that is correct. Inside now counts people the gate let in and has not let out. Pending meetings counts appointments not yet held. A delivery driver is inside with no meeting; a parent stuck in traffic has a pending meeting and is not inside. One combined number would have to be wrong about one of them.

Average visit length is calculated only over visits that were checked out. A visit still running is not counted as zero minutes — that would drag the average toward nothing all morning.

Visitor Reports — any date range

Filter by date, visitor type, office, staff member, meeting status and visit status. The four tiles at the top are calculated over everything your filters match, not the rows on screen, so the total does not change when you turn the page.

🔴 A blank duration is not zero. A visit that was never checked out shows a dash and is left out of the average. Many dashes means the gate is letting people in without checking them out — worth fixing, because "inside now" depends on the same thing.

Export downloads exactly the filtered rows, CNIC and mobile included — treat the file as personal data. Print uses your school's General Branding letterhead.

The report can only show what was recorded: somebody let in without being registered is not in it. That is the argument for using the gate's walk-in tab.

Visitor Settings — your own office names

"Meeting with / going to" is offered by the register, the scheduler and the gate, and every report groups by it. It ships with 22 defaults; change them to what your school actually calls these places.

  • Renaming is safe. Each visit stores the name as it was at the time, so last term's report keeps saying what it said.
  • 🔴 Removing is not. An office that has been used is deactivated instead of deleted — it vanishes from the pickers and stays readable on old visits. One nobody has used is deleted outright.
  • Department is optional and worth filling in: the report can be narrowed by it.
