How do I lock past staff attendance so nobody can edit it after salaries are paid?

HRM › Lock Update Attendance freezes employee attendance up to a point you choose, so nobody can quietly change a month you have already paid. Once the lock is set, that period — purani attendance — can no longer be edited by anybody, including the person who marked it.

The screen has two controls and one Update button:

  • Lock Monthly Attendance — pick a month. This is for attendance you do not mark in the software day by day, but enter from a paper register on Monthly Attendance.
  • Lock Attendance — pick a single date. This is for attendance marked in the software, whether from Take Attendance or through a QR card or biometric device.

Steps

  1. Finish and pay the month's salaries
  2. Go to HRM › Lock Update Attendance
  3. Set the month, or the date, you want frozen
  4. Press Update

To fix something inside a locked period

  • The most recent locked day — press Unlock last attendance day (or Unlock last monthly day). The lock moves back by one day, so only that day becomes editable again and everything before it stays locked. Press Update to re-lock when the correction is done.
  • Anything older — move the lock date back to before the day you need, make the correction on HRM › Attendance › View/Update Attendance, then set the lock forward again.

There is no per-employee exception — the lock is a line in time for everybody, and it includes the locked date itself.

Common confusion

"Attendance will not save and there is no obvious error." Check this screen first. A lock is the usual reason an edit silently refuses; the message is Less than Lock Date Attendance cannot be updated. The other reason is that the employee's salary for that month has already been generated, which freezes their attendance for that month on its own.

"Does locking change any figures?" No. It only stops edits. Salaries, reports and records already saved are untouched.

"Somebody deleted a locked row." Deleting is not covered by the lock — Delete Attendance on the update screen removes rows whatever the lock says, so keep that right with the people who should have it.

"Does it lock student attendance too?" No. This is employees only.
