Which staff attendance report should I use — one employee day by day, or all staff over a date range?

Last updated

Four read-only reports sit under HRM › Attendance Report. This is where staff attendance is read, printed and exported — hazri ka record nikalna ho to yahin se, never from the marking screen.

For one employee's attendance across a whole month, choose Individual Attendance Report, select the employee and month, and compare the monthly totals with the daily records. This staff report uses the employee attendance register; student gate arrivals do not enter it.

ReportUse it for
Employee Attendance ReportA date range across your staff — one row per employee, one column per date, grouped by designation group. The month sheet most schools print
Employee General Attendance ReportThe same period as a searchable list of single attendance records — date, status, type, in and out time, the decided times and the note — with more columns you can switch on
Individual Attendance ReportOne staff member for one month — the totals for each status, then day by day with the decided and the actual time in
Combine Attendance ReportAll the employees you choose on one page, over a date range, with each status counted per person

Steps

  1. Go to HRM › Attendance Report and pick the report
  2. Set the month or the From – To dates, and narrow by campus or employee if you need to
  3. Press the report's own button (Get Record, Generate Report) and read it on screen, print it, or export it

These read, they never change

None of these screens edits attendance. To correct something, go to HRM › Attendance › View/Update Attendance — and if that refuses, the month is locked on HRM › Lock Update Attendance.

Common confusion

"The report is empty for a month we definitely worked." Attendance for that month was recorded as a monthly total rather than day by day, or was never marked. A day-by-day report has nothing to show from a monthly summary. The Individual Attendance Report is the one that tells you: it says a monthly record exists and offers to switch between the monthly record and the day-wise rows.

"The report and the salary disagree." Salary is calculated from the attendance as it stood when the month was calculated. If attendance was corrected afterwards, recalculate the month.

"An employee is missing." They are inactive, or outside the campus filter.
