How do I enter a whole month's staff attendance as totals on Monthly Attendance, instead of marking every day?

HRM › Attendance › Monthly Attendance takes a whole month in one go, as totals — poore mahine ka hisaab ek hi screen par: how many days each employee was Absent, Late, on Leave, on Short Leave and so on, instead of marking every date one by one.

It suits a school that keeps a paper register and only needs the month's totals in the system for payroll.

Steps

  1. Go to HRM › Attendance › Monthly Attendance
  2. Choose the Month — a month that has not happened yet is allowed, for a register filled in advance
  3. Optionally narrow by Campus, Employees or Designation Groups
  4. Enter each employee's counts against the acronym columns, and a note if you want one
  5. Press Save Attendance (Print gives you the sheet as it stands)

The columns are the leave types your school uses — Absent, Late, Leave, Short Leave, Death Leave, Paper Leave, Sandwich Leave — plus Total lectures for staff paid per lecture. Present and Off Day are not columns; anything not counted is treated as worked.

Saving posts every ticked row as well as every row you typed in, so a row that is ticked but left empty is saved as a month of zeros.

Pick one method per month

Use either day-by-day marking or a monthly total for a given month, not both.

If both exist for the same employee and month, the salary calculation screen stops on that employee and makes you choose which source to count, showing you the monthly figures so you can decide. That prompt is not an error — it is the system refusing to guess.

For the same reason, saving an all-zero month for somebody who does have day-by-day attendance asks you to confirm first: the monthly record would take over from their daily rows in reports and in salary.

When the screen will not save

  • Month locked for attendance — a red badge appears and Save is switched off. The month is locked on HRM › Lock Update Attendance.
  • Salary already generated for that employee's month — their row is greyed and cannot be edited or removed.

Common confusion

"Will monthly totals show on the daily attendance screen?" No. They are a separate record; the day-by-day screen will still look unmarked.

"Which one does salary use?" Whichever exists. When both do, you are asked.
