How do I take a security deposit from staff and return it when they leave?

HRM › Salary › Security Payment & Return tracks a refundable deposit held against an employee — usually collected a little at a time from salary and returned when they leave.

The list shows each employee with:

  • Total Security — the full deposit agreed
  • Total Deducted — how much has been collected so far
  • Remaining Deduction — how much is still to be collected
  • Returned — how much has been given back

Steps

  1. Go to HRM › Salary › Security Payment & Return
  2. Find the employee — the list carries employee code, name, CNIC, campus and mobile, so you can search on any of them
  3. Open Detail to see the individual deductions that make up the totals
  4. When the employee leaves, record the return and print the receipt on Pay Print Receipt

It is a deposit, not pay

The money is held on the employee's behalf, so it is not an expense of the school and is not the same as a deduction that reduces net pay permanently. Returning it gives the money back.

Common confusion

"Remaining Deduction is not going down." Deductions are recorded here as they are collected. If salary is deducting but this figure is not moving, the collection is not being recorded against the deposit.

"Where is the receipt?" HRM › Salary › Security Payment & Return › Pay Print Receipt, after the return is recorded.
