How do I choose which fields appear on the employee form, and manage staff documents and print templates?

Four settings screens under HRM:

Employee Form Customization

HRM › Employee Form Customization switches individual fields on the employee form on and off, so a school that does not record, say, a blood group never sees the box. A small set of core fields is locked on and always required — those cannot be switched off, because the rest of the system depends on them.

Manage Docs

HRM › Manage Docs defines the document types you keep against staff — CNIC copy, degree, contract, police verification — and holds the uploads. Each entry has a title and the document itself.

Manage Print Template

HRM › Manage Print Template controls the layout of HRM printouts (experience letters, appointment letters, certificates). Write the letter once with tags and it fills in per employee.

Gender words (s834). Do not type "S/O", "he", "his" into a letter — a female employee then prints as male. Use the Gender Words tags instead: [son_daughter_of] prints S/O or D/O, [he_she] / [he_she_capital] print he/she or He/She, [his_her] / [his_her_capital] print his/her, [him_her] prints him/her, [mr_ms] prints Mr. or Ms. — all from the employee's Gender on the employee form. No gender recorded → the neutral form (S/D/O, he/she). The shipped Experience Letter was corrected to these tags on 2026-09-21 and the old separate Male / Female copies became ONE template, Employee Experience Letter; the Character Certificate, Bank Account Open Letter and Teacher Appointment Letter were proofread the same way. A school that had edited its own copy keeps its wording and should replace the fixed words with the tags. Printing an employee certificate, experience letter or salary slip

  • Certificates and letters (experience letter, character certificate, appointment letter…) — go to HRM › Manage Employees › Manage Employees, tick the employee, open Select Document To Print and pick the template. The list comes from HRM › Manage Print Template — add your own wording there (for example a salary certificate) and it appears in the list.
  • Salary slip — HRM › Salary › Pay/Print Salary, choose the month and print Salary Slip; it serves as proof of salary.

Pay Modes

HRM › Pay Modes lists how staff are paid — cash, bank transfer, cheque. It is the dropdown you pick from when paying a salary.

Common confusion

"A field will not switch off." It is one of the locked core fields.

"I switched a field off — is its data gone?" No. Hiding a field does not delete what was already recorded; switch it back on and the values are still there.
