HRM › Salary › Lecture Register is where lectures are recorded, one month at a time. There are only three reasons a total comes out lower than expected, and the screen names whichever one applies on the card at the top of each teacher.
1. The lectures are waiting for approval
Only approved lectures are paid. An entry starts as Waiting for approval and is not counted. Tick the entries and press Approve selected.
This is the usual answer. Approving is a separate privilege (HRM › Lecture Approval) from recording, so that the person entering lectures is not the person deciding what is paid — ask your administrator to grant it if the Approve button is greyed out.
2. The lectures have no rate
Approved lectures with no matching rate count as zero. Add a rate on Lecture Rates, or set a default rate on the teacher's salary plan.
3. The lectures were already paid
Once a salary has been generated for that month, those lectures show as Paid and are locked. They are never paid twice, and they cannot be edited or deleted.
To change a paid month: delete that generated salary on Pay/Print Salary and the lectures come back to Approved automatically. A salary that has already been paid must be unpaid first.
Recording lectures quickly
Add lectures opens a grid — several rows at once, since a teacher's day is usually several lectures on the same date. Class, Section and Subject decide which rate applies and can be left blank when the rate does not depend on them. Minutes are for your own records and do not change the amount.
Finding the employee. Type in the employee box to filter it — by name, employee code or CNIC. The same box on the Lecture Rates screen works the same way. If typing in that box does nothing on your screen, you are on an old version of the page; refresh it once.
A teacher who takes the same lectures every month
Tick Consecutive when you register a lecture that repeats — a standing arrangement, such as twelve lectures of Physics in BS-IV every month. It saves the arrangement once instead of you re-typing it in October, November and December.
It does not silently create months. The register shows a bar telling you how many consecutive registrations are due for the month you are looking at, and Carry forward is what actually creates them. Nothing is created just because somebody opened the screen.
Carried entries arrive waiting for approval, exactly like typed ones. An arrangement is a plan — it is not evidence the lecture happened and it is not permission to pay for it. Pressing Carry forward twice does nothing the second time, and an entry you deliberately deleted is not put back.
Changing one month vs changing the arrangement
- This month only — edit that month's entry in the register. The arrangement is untouched, so next month comes back at the usual number.
- From now on — change Lectures / month in the Consecutive registrations panel.
- Stop it — untick Consecutive. That stops future months only. Nothing already registered, approved or paid is changed or removed; a month that has been paid can never be rewritten by this.
Import from attendance
If your institute already types a Lectures number on the employee attendance screen, Import from attendance turns that month's numbers into register entries in one go. Those numbers carry no class or subject, so the entries are paid at the default rate, and they arrive waiting for approval. A day that already has entries is skipped, so running it twice does not double anything.
Common confusion
"Should I delete a lecture that should not be paid?" Prefer Reject. It keeps the record and excludes it from pay, so it can still answer "why is my October short by two lectures".
"The teacher does not appear." They are not on lecture-wise salary. Tick it on their row in HRM › Salary › Update Salary Plan.
