HRM › Salary › Lecture Register. Choose a month first — the screen always shows one month.
🔴 Only approved lectures are paid
An entry starts as Waiting for approval and is not counted when the salary is calculated. Tick the entries and press Approve selected. If you hold the approval privilege, you can also tick Approve these straight away when adding.
A total that looks too small is nearly always unapproved entries. The card at the top of each teacher tells you how many, in amber.
Recording lectures
Add lectures opens a small grid — one row per lecture, several rows at a time, because a teacher's day is usually several lectures on one date. Class, Section and Subject decide which rate applies and can be left blank when the rate does not depend on them. Minutes are recorded for your own records and do not affect the amount: rates here are per lecture, not per hour.
An entry dated outside the month on screen is allowed — a late entry for last month is a real thing — but it will be paid in the month it is dated, and the screen asks you to confirm before saving it.
"Paid" entries are locked
Once a salary has been generated for that month, those lectures show as Paid and can no longer be edited or deleted. This is what makes sure a lecture is never paid twice.
If a paid month really needs to change: delete that generated salary in Pay/Print Salary, and the lectures come back to Approved automatically, ready to be corrected and calculated again. A salary that has already been paid must be unpaid first.
Rejecting rather than deleting
Reject keeps the entry and excludes it from pay. Prefer it to deleting — a deleted row cannot answer "why is my October short by two lectures", and a rejected one can.
Import from attendance
If your institute already types a Lectures number on the employee attendance screen, this button turns that month's numbers into register entries in one go.
- Only teachers already switched to lecture-wise salary are included.
- Those numbers do not say which class or subject was taught, so the entries are paid at the teacher's default rate.
- They arrive waiting for approval — a number typed for attendance was never anybody's approval to pay for it.
- A day that already has entries here is skipped, so running the import twice does not double anything.
"Consecutive" — a registration that repeats every month
A visiting lecturer's timetable usually does not change from month to month, but the register did: every row had to be typed again. Tick Consecutive when you add lectures and that registration becomes a standing arrangement.
- Open Add lectures, fill the rows as usual and tick Consecutive before saving. Every row in that save becomes its own arrangement.
- In any later month a blue bar appears on the register saying how many arrangements have not been carried into it yet. Press Carry forward and that month's entries are created.
- They arrive waiting for approval, like everything else on this screen. A tick made once in August can never pay anybody in December on its own.
Changing one month, and changing every month
- One month only: edit that month's row in the register. The arrangement is not touched, so next month goes back to the usual number.
- From now on: open Consecutive registrations at the top of the screen and change Lectures / month there.
Stopping it
Untick Repeats in Consecutive registrations. Nothing you have already recorded, approved or paid changes — stopping an arrangement only stops the next month being created. You can switch it back on later, and it carries on from wherever you are.
Pressing Carry forward twice is safe: a month can only ever receive one entry per arrangement, so the second press creates nothing. Rows created this way carry a Consecutive tag in the register so you can tell them from ones typed by hand, and a row you delete on purpose is not put back.
