If a menu item is greyed out, or a screen tells you a feature is temporarily unavailable, it usually means one thing: your EDUBase subscription payment is overdue. Nothing is broken and nothing has been deleted. Your data is untouched and comes straight back when the payment is cleared.
How you will see it
- A yellow bar appears under the menu on every page, saying how many months are overdue and how much is outstanding.
- Affected menu items are greyed out but still visible, so you can see exactly what is affected. Hovering over one explains why.
- Opening an affected screen shows a short page naming the feature and what to do, instead of an empty or broken-looking report.
What is never restricted
These stay available no matter what is owed, because they are how you resolve the situation:

- Support and the EDUBase assistant — how you reach us.
Signing in is never blocked either, so you can always get to the three above.
What may be restricted
EDUBase agrees this with each institute, so not every school is affected the same way, and many are not affected at all. Where restrictions do apply they are chosen from these areas — never the whole portal at once:
- Admission — paying and deleting challans, direct and family payments, printing the date sheet and roll number slips.
- Finance — Profit & Loss, Journal Inquiry, GL Inquiry, Balance Sheet, Cash Report.
- Exam & Attendance — exam reports, taking attendance, attendance reports.
- HRM — staff attendance, monthly attendance, salary plans, generating salary.
- General — Student Diary, Complaints & Suggestions, Notice Board.
Two levels
- A warning — the feature still works. You are being told the payment is overdue before anything is taken away.
- Unavailable — the feature is paused until the payment is cleared or a payment date is agreed.
Restoring access
- Pay the outstanding amount. Access returns by itself, normally within a minute of the payment being recorded by EDUBase — there is nothing to switch back on at your end.
- Or tell us when you will pay. If your institute has this enabled, the yellow bar and the unavailable-feature page both offer "Tell us when you will pay". Choose a date within the range shown and full access is restored until that date. You will normally be offered this once per overdue month, so it is worth choosing a date you can keep.
- Or contact EDUBase support to agree a longer date or discuss the account.
Common questions
Is my data safe? Yes. Nothing is deleted, hidden or changed. Restrictions affect which screens you can open, never what is stored.
Will parents and staff see anything? No. The parents app, the teacher app and SMS are unaffected. This applies only to the staff web portal.
Why can one colleague open a screen when I cannot? That is a different thing — your school's own Users & Privileges settings. A privilege message says "please check your privileges"; a payment message names the subscription. Check which one you are seeing.
We have paid already. Access returns automatically once the payment is recorded against your account in EDUBase. If it has been longer than a working day, contact support with the payment details.
