Upload and review
Open Admin → School Setup → Upload. Choose your Excel or CSV student list, then match its columns to the student fields. Check the preview before saving. Names already in your school are reused. Missing classes, sections, groups, sessions, fee heads and fee plans appear for review. Existing items are kept unchanged; new links can be added to existing plans.
Gender is matched to the school's existing Male/Female choices. Keep phone numbers, identification numbers and roll numbers as text in the spreadsheet so leading zeroes stay intact. Duplicate roll numbers, invalid dates and students assigned to a class or fee plan that is not offered at their campus must be corrected before import.
Campuses and fees
Only EDUBase billing staff can add a campus. If a campus is missing, contact EDUBase support or choose the correct existing campus. Review each fee head, amount, month and fee plan. Student fee overrides and first-time arrears are kept with the batch.
One save
Confirm the reviewed setup and students together. If any student or setup value fails validation, no setup rows or students are saved. Empty fee columns created during preparation may remain; they contain no student data. If another tab changed setup while you were reviewing, reload the page and review again.
Correct or replace a file
Choose a previous batch to replace with a corrected file. The old students are removed and the replacement students are added in one transaction. If the replacement fails, the original batch remains intact. An active replacement must be reverted before its original upload can be restored.
Revert and restore
Revert students only keeps the school setup. Full revert also removes setup additions owned by the upload, including an unchanged chain of replacements. Existing school setup is preserved. A full revert is refused if setup has changed since the upload, or another student, record or financial transaction now uses an added item. This check can include changes elsewhere in School Setup; use students-only revert if those changes should remain.
Students with later edits, attendance, challans or other activity cannot be removed silently. Review the reason shown and keep those records. Restore recreates a reverted batch; after a full revert it recreates the owned setup first. Student IDs and newly created setup IDs may change. Restoring never sends messages to parents.
