Link an EMS login to an HRM employee

Create a school staff login from an active HRM employee, or review and link an older login. An inactive employee cannot sign in.

A school staff member has one HRM employee profile for their name, designation and employment status. Their EMS login is linked to that employee for access to the school system.

Create a staff login

  1. Open HRM → Manage Employees and create an active employee if the person is not there yet.
  2. Open Admin → Users & Privileges → Create User. Choose the employee first, then enter their login name, email, contact and password.
  3. Choose a role and campus access deliberately. Review the privileges before saving.

The employee name and designation come from HRM. Change them in HRM → Manage Employees; the login screen controls credentials and access. A Teacher App login, if used, has its own setting on the employee profile.

Link an older login

  1. Open Admin → Users & Privileges and filter to Needs employee link.
  2. Open the account and choose Link employee. Check the login name and employee name/code together before confirming.
  3. If the correct employee does not exist, create their HRM profile first. Do not choose a similar name just to clear the warning.

Linking preserves the account's current password, role, campus access and privileges. One employee can have one EMS login. Existing unlinked logins remain usable while the school reviews them; EDUBase support/system accounts are managed separately and do not need an HRM employee.

When an employee leaves

Mark the employee Left or inactive in HRM → Manage Employees. Their linked EMS login is blocked automatically, including an existing signed-in session. A school administrator can still see and review the account under Admin → Users & Privileges. To correct a status mistake, update the employee status in HRM. Do not create a second account to bypass the block.
