Complete School Management System: Modules Guide

A complete school management system includes admissions and student records, fee management with bank collection, finance and accounting, examinations and result cards, student and staff attendance, HR and payroll, parent communication, and apps for parents, teachers and owners.

Which core modules should a complete school management system include?

A complete system covers the whole working day of a school, from the first admission enquiry to the month-end salary sheet. The modules matter less than whether they share one set of records. When fees, attendance and exams all read the same student record, the office stops retyping the same child into different registers.

EDUBase Cloud is an all-in-one, cloud-hosted school management platform built in Pakistan. It is used by private schools, school groups and multi-campus chains, colleges, academies and tuition centres, and madaris with classes and fees. It runs on a web portal with 190+ portal screens and free Android apps.

  • Student Management & Admissions: enquiries, admission approvals, class capacity, family grouping, promotion and leavers
  • Fee Management & Challans, Fee Automation and Fee Reports & Defaulters
  • Bank Fee Collection through a consumer number on the voucher
  • Finance & Accounting and Purchase Requisitions
  • Examinations & Results and Examination Reports & Teacher Performance
  • Student Attendance, QR, Biometric & Geo Attendance and Face Attendance Gates
  • Staff Management (HRM), Employee Attendance, Payroll & Salaries and Lecture-Wise Salary
  • Communication Center, SMS, WhatsApp & Notifications, PTM, Daily Diary and Front Desk

How should fees and bank collection work?

Fees are where most owners feel the difference first. A complete system should let you build fee plans from your own fee heads, generate the month's challans for the whole school at once, carry arrears forward automatically and collect per family. In EDUBase, discounts and payments can wait for a manager's approval, and a parent paying several months at once gets one consolidated receipt.

Fee Automation can generate challans on a fixed date, apply your late fee policy after the due date while skipping weekly offs and Holiday Calendar dates, and send defaulter reminders by SMS, WhatsApp, branded SMS or the app. Every automation ships switched off and has a preview that charges nothing.

With Bank Fee Collection, each challan carries a consumer number. Parents can pay through HBL, Bank Alfalah, Meezan Bank, PayPro and KuickPay, and through them the 1Bill and 1LINK channels. When the bank posts the payment, the challan is marked paid and the ledger is updated, with no manual entry at the school. Reports such as Day Wise Paid Challans, Student Wise Fee Status and the Fee Audit Report show what was billed, what was collected and who still owes.

What should exams, attendance and staff modules cover?

On the academic side, look for subjects, test types with weightage, grading policies, award lists, branded result cards, positions, date sheets and roll number slips. EDUBase also lets you enter results now and release them in the Parents App at PTM time. The Teacher Performance report turns the same results into a per-teacher view.

Attendance should accept more than one method. EDUBase marks attendance from the class register, the Teacher App, QR cards scanned with the QR Attendance App, biometric terminals, and face attendance tablets at the gate. All of these feed the same attendance records, and absentee SMS or WhatsApp can go to parents straight away.

For staff, the system should keep employee records, shifts, leave and letters. Late arrival, short leave and absence should flow into payroll, and salaries should post to the ledger. EDUBase locks a month's staff attendance once salaries are done, and colleges can pay visiting faculty per lecture through Lecture-Wise Salary.

How do parents, teachers and owners stay connected?

A complete system reaches people where they are. EDUBase has 4 free mobile apps on Google Play: the Parents App, Teachers App, Owners App and QR Attendance App. Parents follow attendance, fees, marks, diary and notices, and log in with a one-time SMS code. Teachers mark attendance, write the diary and run PTMs with voice notes. The owner sees today's P&L, collections, attendance and defaulters across campuses and approves salary changes and leave from the phone.

Messages between teachers, parents and the school stay inside the platform. Each message is screened for personal contact details, and a Communication Report is available when a complaint needs the facts. Student 360° brings one child's profile, attendance, marks, fee standing, conduct and meetings onto a single screen.

What control and security features should an owner check?

Ask how data is separated, who can do what, and how changes are traced. In EDUBase, every school has its own separate database. Staff sign in with the institute code and their own login, and each user's screens, actions and campuses are set individually. Payments, discounts, salary changes, admissions and leave can require a second person to approve them.

The User Logging page records who created, changed or deleted a record, opens that record with the change highlighted, and sends a daily summary to the owner. Hosting, regular off-server backups and external monitoring with alerts are run by the EDUBase team, and all portal and app traffic runs over HTTPS.

What does switching from registers or another system involve?

Switching is mostly a data question. You need students, fee plans, old dues and past payments in the new system so that the first challan is correct. During onboarding, the school fills a student data Excel and the EDUBase team uploads it, confirms with a screenshot, and shares the login details with a how-to video.

After go-live, schools can use Upload Students, Upload Fee Plans, Upload First Time Arrears and Upload Challan Payments themselves. For accounts, the new ledger can run alongside the old one and be compared account by account before switching. For bank collection, EDUBase configures the routing with the school's bank and confirms the bank's tests before vouchers go live.

Frequently asked questions

Do all modules need to come from one system?
Not strictly, but a single system means fees, attendance and exams all read the same student record, so nothing has to be retyped or reconciled between tools. EDUBase covers admissions, fees, finance, exams, attendance, HR, payroll, communication and front desk on one portal.
Can parents pay school fees at the bank instead of the school counter?
Yes. EDUBase challans carry a consumer number that parents can pay through HBL, Bank Alfalah, Meezan Bank, PayPro and KuickPay, and through the 1Bill and 1LINK channels. The payment posts automatically, and the school can keep counter payments alongside.
Which mobile apps come with EDUBase?
EDUBase has 4 free mobile apps on Google Play: Parents, Teachers, Owners and QR Attendance. There is also a free SMS Sending App you download from the portal, and a WhatsApp Sender for Windows.
Does EDUBase work for school groups with several campuses?
Yes. You can set up any number of campuses, staff switch between the campuses they are allowed from the top bar, and owners see campus-wise or combined reports on the web and in the Owners App.
How do we move our existing student and fee data across?
The school fills a student data Excel and the EDUBase team uploads it during onboarding. Old dues and past payments can also be loaded so that the first challan is correct.
Is our school's data kept separate from other schools?
Yes. Every school has its own separate database on EDUBase's servers. Staff sign in with the school's institute code, and parents sign in with a one-time SMS code.
Can the system be extended if we need something it does not do yet?
Yes. New features and options to meet an institution's requirements are added by the EDUBase team, and updates ship to every school without any installation on the school's side.
