Parents App: How Parents Download and Sign In

Parents install the EDUBase Parents App from Google Play on an Android phone, then sign in with a one-time code sent by SMS to the mobile number the school has registered. If the code does not arrive, school staff can look it up or issue it from the Parent App OTP Portal.

Where do parents download the Parents App?

The EDUBase Parents App is a free Android app published on Google Play. Parents search for it in the Play Store or open a download link the school sends them, then install it like any other app.

The web portal keeps the official links ready on the EDUBase App Links screen. Staff copy the store link or download link from there and paste it into a message, so families do not install the wrong app by mistake.

EDUBase also offers white-label parent apps for school groups. If your group uses one, give families that app's link instead.

  • Copy the link from EDUBase App Links.
  • Send it to families with the SMS Blaster or the school's linked WhatsApp number.
  • Repeat the link at admission, PTMs and when fee vouchers go out, when parents are most likely to act on it.

What must the school set up before parents can sign in?

Sign-in depends on the mobile number held on the child's record. The one-time code goes to that registered number, so a wrong, old or missing number is the most common reason a parent cannot log in.

Check that the guardian's mobile number is captured on the admission form for every new child. For existing students, correct numbers on the student profile, or change many records at once with bulk update.

  • Enter the guardian's current mobile number at admission.
  • Link siblings under one family number so the family's records stay together.
  • Update the number on the record when a parent changes phones.

How does sign-in with a one-time code work?

Parents do not get a username and password. They log in with a rotating one-time code sent to the registered mobile, which means there is no shared password to forget, write down or pass around.

In practice the parent opens the app, requests a code, receives it on the registered mobile and enters it to sign in. Staff logins work differently: staff use the school's institute code, a username and a password, and an admin resets staff passwords.

What should staff do when a parent's code does not arrive?

The Parent App OTP Portal on the web portal lets authorised staff look up or issue a parent's one-time login code when the SMS does not arrive. This lets the front office help a parent on the phone or at the counter without waiting for another SMS.

Before issuing a code, confirm the number on the child's record is the one the parent is using. If it is not, correct the record first so future codes reach the right phone.

How can the principal see which families are using the app?

Parent App Analytics shows adoption by class and section, so you can see which classes are behind and ask those class teachers to follow up. The Owner App also shows how many parents use the app.

A practical routine is to check the analytics after each round of link messages, then target the classes with low adoption at the next PTM.

What do parents see once they are signed in?

Parents follow their child's attendance, fees, marks, diary and notices, apply for leave, message the school and receive PTM invitations. Push notifications tell them when something new arrives.

The school stays in control of what is shown. Exam marks can be entered but hidden until you release them, and Parent App Privileges can warn or block app features for families with fees overdue by a set number of months, with per-student overrides. Fee details and contact us are never blocked.
