What each attendance status means, and how it counts

Present, Absent, Late, Leave, Short Leave, Off Day and the rest — which ones count as attended, which are excluded from the percentage, and why the dashboard legend shows what it shows.

The nine statuses

EDUBase records a student's day as one of nine statuses. Your school chooses which of them staff can actually pick, under Admin › Attendance Acronym Active/Inactive — the ones you switch off never appear on Take Attendance, on View/Update Attendance, or in the teacher app.

🔴 Short Leave counts as PRESENT

This is the question we are asked most, so it is worth being exact. The attendance percentage on the report card and on the student profile is:

Present days ÷ all marked days except Off Days, where present days = Present + Late + Short Leave.

So a child on Short Leave is counted as having attended that day. The reasoning is that they did come in — they simply did not stay the whole day. Late is treated the same way and for the same reason.

Leave, Death Leave, Paper Leave and Sandwich Leave are not. They stay in the total but not in the present count, so they lower the percentage exactly as an Absent does. Only the reason shown on the register differs.

🔴 Off Day is the one status that leaves the total

A day marked Off Day is removed from both halves of the sum — it is not a day the child attended and not a day they missed, because the school was shut. Mark a closure as Off Day and nothing else: marking a closed day as Short Leave would count every one of those children as present on a day nobody came in, and would leave the closed day sitting in the denominator.

If Off Day is missing from your list of statuses, switch it on under Admin › Attendance Acronym Active/Inactive.

The Attendance Legend on the dashboard

The donut on your dashboard shows today's register: one slice per status your school uses, plus Unmarked for enrolled students with no attendance recorded yet.

  • A status your school has switched off for students is not listed — unless there are still records marked with it, in which case it stays visible so the figures continue to add up to the number of children marked.
  • Unmarked is enrolled students minus students marked. A large Unmarked slice late in the day usually means a class register has not been saved.
  • Ticking a status in the legend takes it in and out of the donut. That changes only what you are looking at; it changes no record.

Where a status can come from other than a teacher

  • QR, biometric and face scans at the gate write Present or Late as students arrive.
  • An approved student leave request writes its own status across the dates it covers — a Short Leave request writes Short Leave.
  • Auto-absent, where your school uses it, marks anyone still unmarked at the end of the day — never on a weekly off day or a Holiday Calendar day.

🔴 If a status keeps appearing on days nobody chose it, check Attendance Acronym Active/Inactive first, then the leave requests for those dates. If neither explains it, send us the date and the class rather than correcting it by hand every month — a status arriving on its own is a fault worth fixing at our end.
