Where do I set the fee amount, and how do I make a charge apply only in certain months?

Last updated

Core › Particulars Amount and Repeating Months. Each row is one combination of campus + fee plan + charge, and carries:

  • Amount — what this charge costs
  • Min Amount — the least that may be accepted against it
  • First Time — a checkbox
  • Twelve month checkboxes — Jan through Dec

Amounts save when you click out of the box; checkboxes save the moment you click them. There is no Save button.

Fee ka amount kahan set karte hain — is screen par. This is where the standard amount for every charge is kept; one student's own concession is handled later, on that student's fee plan.

The rule that decides what lands on a challan

A charge is put on a challan when either of these is true:

  • First Time is ticked and this is that student's very first challan, or
  • the month checkbox for the challan's month is ticked

That single rule is the whole screen. It gives you three normal patterns:

What you wantHow to set it
Monthly tuitionTick all twelve months. Leave First Time unticked.
Admission / registration / security — once per student, everTick First Time. Tick no months.
Exam fee, annual charges — some months onlyTick just those months, e.g. Apr and Oct.

Steps

  1. Go to Core › Particulars Amount and Repeating Months
  2. Find the row for the campus, fee plan and charge you want
  3. Type the Amount and click outside the box — it saves
  4. Tick First Time, or the months, following the table above

Common confusion

"Challan zero aa raha hai, amount nahi lag raha." The amount on the row is still 0, or no month is ticked for the month you generated the challan for.

"Admission fee is charged every month." First Time is ticked and months are ticked. Untick every month — First Time alone is enough.

"A row I need is not on the screen." Rows only exist where the charge is ticked into that plan. Go back to Core › Fee Particulars in Fee Plan List.

"I changed the amount but old challans did not change." Correct. A challan keeps the amount it was issued with; the new amount applies to challans generated from now on.
