Core › AI Account Scanning & Auditing is a read-only health check of your school's database: fixed checks across Admissions, Academics, Finance, Examinations, User management and "Getting more from EDUBase", listing records that look contradictory or incomplete, compared with the previous scan, plus a short written explanation. It never changes, corrects or deletes a record — there is no fix button.
Who can open it
This web page is for EDUBase staff only (owner decision, August 2026). Its permission is not switched on for any school login, so:
- In the Core menu the entry appears disabled for every school user — the intended state, not a fault
- Opening the address directly gives "Sorry, You are not authorized for this action"
- Do not treat the grey entry as something to fix from Admin › Users & Privileges
A school user should not expect to use this screen. What you can do:
- Ask in your EDUBase support group for a fresh scan — only EDUBase staff can start one
- The school owner (administrator login) can read the latest report in the Owner App under Reports › Data Scan (app version 4.7 or newer), whoever ran it. A teacher or clerk login there sees "This report is available to the institute administrator only."
What the report shows
- Date/time and who ran it (or First automatic scan — every school on EDUBase got one when the feature launched in August 2026)
- What this means — a plain explanation and priorities; unchanged data reuses the last text, marked unchanged since last scan
- Findings by area, each with a severity (Needs attention / Worth checking / For information), the record count, the change since last time (New since last scan, Improved, Unchanged, More than last scan, e.g. 4 → 4), a recommendation and example student IDs to check by hand
- Resolved since the last scan, and Previous scans — every run stays in the school's database and can be reopened
Rules the runner sees
- Run New Audit is refused while another scan for the school is running, and after 5 scans in one day — the button is disabled with the reason in its tooltip
- The scan runs in the background; the page updates itself and a bell notification says when it is done
- A finding is a question to verify, not a verdict — a Currently Enrolled student with a leaving date is usually a normal re-admission (see the article on what the data scan report means)
It does not repeat automatically after the first scan — a new report appears only when someone runs one.
