How do I see and collect the outstanding balance of a student who has left or graduated, and find their old challans and payments (Students Not Currently Enrolled)?

A child marked Left still owes what they owed — "is bachay ka baqaya kahan dekhein, aur payment kaise lein?" — and the answer is the Extras › Students Not Currently Enrolled submenu. It has five entries — View/Edit Fee Plans, Generate Challan, Pay or Print Fee Challans, Paid Challans and Payment History — and each is the ordinary fee screen opened with one difference: the student filter is flipped from Currently Enrolled to everyone who is not.

Why the normal screens go blank — the student "disappears" (ghayab) from Pay or Print

Every ordinary fee screen — Generate Challans, Pay or Print, Paid Challans, Payment History, View/Edit Fee Plans — only lists students whose status is Currently Enrolled. The moment a child is marked Left, Graduated, Expelled, Suspended or Duplicate Record on Manage Students, they drop out of those lists. Their challans, payments and fee plan are all still there; they are simply outside the filter. The Extras submenu is where you see them again.

Steps

1. Go to Extras › Students Not Currently Enrolled and pick the screen you need
2. Pay or Print Fee Challans — see and collect an old balance (baqaya): the unpaid challans of leavers, with the same Pay, Pay All, Make Installment, print and delete buttons
3. Paid Challans and Payment History — the paid challan report and payment record of an old student: reprint a receipt or show a parent what was paid before the child left
4. Generate Challan — bill a leaver for a month that was never raised (a final month, or a leaving-certificate charge); the bulk panel and the ticked-rows path both work, limited to these students
5. View/Edit Fee Plans — open or change the fee plan of a child who has left, for example before generating a last challan
6. If a child came back, set them to Currently Enrolled on Manage Students; they return to the normal screens and leave these ones

Why the dashboard's unpaid amount looks too high

The unpaid / pending fee figure on the dashboard is the total still owed on unpaid challans in the software — and that includes challans of students who have left. To see the detail, check Extras › All Students (every student, with pending fee) and Extras › Students Not Currently Enrolled › Pay or Print Fee Challans (what leavers still owe). If a leaver's challan is never going to be collected, select it there and delete it — the dashboard figure then drops accordingly.

Common confusion

"The student is missing from both." A child in Admission Query status is not enrolled either, so they appear here, not on the normal screens. Check the status on Manage Students.

"Fee defaulter reports do not show leavers." By default they list enrolled students only; each of the three defaulter screens (Month Wise, Family Wise, Total Amount) has an All Students tick box that adds leavers. Otherwise use Extras › Students Not Currently Enrolled › Pay or Print Fee Challans to see what leavers still owe.
