General › Student Diary shows the diaries that have been written. Filter by campus, then class, then section or subject, with a From and To date range that starts on the current month.
Each diary appears as its own card with the campus, date, class and section, then a grid of Subject · Class Work · Home Work · Vacation Work and any attachments. Each card can be edited, deleted, saved as an image or printed.
On the Parents App, Student Home and Academics have four diary doors: Diary (the whole day), Notes (classwork only), Assignments (homework only), and Vacation Work (the Vacation box). Vacation Work stays empty until someone fills the Vacation Work box. Teachers can fill it in Teacher App › Diary › Create Student Diary › Vacation Work, or on the web.
Where diaries come from
Teachers normally write the diary in the Teacher App. It can also be entered here with Create.
🔴 A teacher can only write the diary for classes assigned to them. If a teacher says the class is not there, the fix is HRM › Manage Employees › Assign Classes for Teacher App, not this screen.
Steps
- Go to General › Student Diary
- Choose campus, class and section
- Set the date range
- Read, print, or Save as image to send to a parent
If parents cannot see it
Two different causes, in order:
- Nothing was written — check here first, for that class and that date
- The Diary feature is restricted for that family — General › Parent App Privileges, usually because of fee dues
Common confusion
"Yesterday's diary is missing." The date range defaults to the current month; at the start of a month, yesterday is outside it.
"The teacher wrote it but it is not here." They wrote it against a different class or section — check which classes are assigned to them.
If a diary save or list fails in the mobile apps
The recovery guidance below is for Teacher App 7.4.6 (version code 75) and Parents App 12.2.5 (version code 124) and later. An older installed app may show different messages; update from the Play Store when this version is available to your device.
In Teacher App › Diary › Create Student Diary:
- A successful save opens the Diary list only after the server confirms that the diary was saved.
- Diary not saved means the server rejected the entry. Read the reason, choose Back to diary, correct it and save again. The form keeps the text and selected attachments while it stays open.
- Attachment not available means a selected attachment cannot be read. Nothing was sent. Choose Back to diary, select the attachment again and save.
- Diary save not confirmed means the connection or server reply did not confirm the result. The save may already have reached the server. Keep your draft, check General › Student Diary for that class and date, and save again only if the entry is absent. The app does not resend the save automatically.
In Teacher App › Diary, a short server interruption such as a 502 error causes the list to retry automatically. This retries loading the list, not saving a diary. If it still cannot load, use Diaries could not be loaded. Tap here to retry. An empty list after a successful load means no diary matches the selected approval filter; it is different from a failed load.
In Parents App › Student Home / Academics › Diary, the CW,HW / HW / CW work-type filter shows only entries with text or attachments for the selected type. A classwork-only entry does not become an empty card when Homework is selected. Attachment-only entries still appear when their work type matches. Clear the filter to see both types again. The separate Vacation Work list continues to show Vacation Work content.

Teacher diary completion
Teacher App → Send Diary shows assigned class, section and subject cards: pending is red and submitted is green, including entries awaiting approval. A card opens the editor directly; subject search helps find it. Teachers may edit their own entries today, while earlier dates are read-only. Completion statistics use the selected date and current assignments. Existing diary approval and notification rules continue to apply.
Owner App → Menu → Diary → Teacher diary percentages compares submitted entries with assigned obligations. Repeated submissions for the same assigned subject and class count once per day. A teacher with no assignments has no completion percentage.
