How do I import new employee records from an Excel sheet?

Open HRM → Manage Employees → Import Excel. You need the same create privilege as Add Employee. Import adds new Active employees; it does not update records, create login credentials, grant web or mobile access, or import salaries, photographs or attachments.

  1. Download the Employee Import Template and fill the Employees sheet with one employee per row.
  2. Choose a campus you may manage. Each import uses one campus.
  3. Upload an XLSX workbook, at most 5 MB and 500 employee rows. Save older XLS files as XLSX first.
  4. Click Check all rows. Review the complete preview and the sheet row numbers beside any error.
  5. Correct the workbook, upload it again and check every row again.
  6. When every row is ready, click Import employees. The whole batch saves together; a failed batch adds no employees.

Required fields and formats

Always fill Employee Code, Employee Name, Father or Husband Name, Mobile, Gender and Joining Date. Employee Code is a unique positive whole number. Gender is Male or Female. Dates use YYYY-MM-DD, such as 2026-10-05; Excel date cells are also accepted.

Keep mobile numbers, CNIC, home phones and emergency contact numbers as Text, including their leading zeros. A numeric contact cell is refused: formatting a number after its leading zero was lost does not recover it, so enter the complete value again. Use plain values; formulas and unknown or repeated headers are refused.

Optional columns include contact details, birth date, marital status, reference, notes, bank information, department, designation group, designation, employment type, pay mode and assigned lectures. Department, designation group, designation, employment type and pay mode must match existing HR setting names. A designation must belong to its selected group. Marital status is Married or Unmarried; contact relation is Guardian, Father, Mother, Brother or Sister.

Your school's required employee-form fields are checked too. If detailed qualifications, experience, skills, attachments or subject specialization are required, enter those records through Add Employee, or ask your school administrator to review those required sections first.

Duplicate and failed imports

An employee code or CNIC already in the register cannot be reused, including inactive or deleted employee records. Repeated values within the same workbook are refused too. Re-uploading a successfully imported sheet is refused as duplicate records, so do not change employee codes simply to retry it. Check Manage Employees after a connection failure before trying again.

Set salary plans, teacher credentials, assigned classes and web/mobile access through their existing screens after reviewing the imported records.
