How do we set up the Teacher App — create a teacher's login, assign classes for diary and attendance — and how do teachers use it?

The Teacher App login is made from the employee record, and the teacher sees only the classes you assign to them.

Set-up, in this order

  1. Add the teacher as an employee — HRM › Manage Employees › Manage Employees › Add. At the end of the form, the Teacher App Credentials block sets the teacher's Username, Password and Active tick, and what they may do in the app. Save.
  2. Assign their classes — HRM › Manage Employees › Assign Classes for Teacher App: give the teacher the classes and sections for diary and attendance. Until this is done the app logs in but shows no class.
  3. Install the app — send the Teacher App link from General › EDUBase App Links (Copy link); the teacher logs in with the username and password from step 1.

Students are added the usual way (admission); nothing extra is needed for them to appear in the teacher's class.

What the teacher can do

Mark student attendance, send the class diary, enter award-list marks, and — for their own staff record — geo-location attendance, leave requests, attendance and salary reports (as allowed in their Teacher App Credentials).

Which time is recorded when a teacher marks attendance in the app?

The time at which it is marked in the app. So marking late in the app records the later time — which is what lateness is judged from.

Two ways to send diary work — pick one

  1. Each teacher sends their own — the teacher opens the Teacher App and sends diary work to their class directly
  2. Teachers send to the admin, admin sends once — teachers submit their diary work to the admin, and the admin dispatches it to everyone in one go

Schools usually start with the second while teachers are still being onboarded, then move to the first. Both are supported; the choice is yours.

Face attendance for teachers

Teachers' attendance by face is done with the separate Face Attendance app, not the Teacher App — see "Which attendance apps and machines work with EDUBase".

Send Diary cards and daily completion

In Teacher App → Send Diary, each assigned class, section and subject card opens its diary editor directly. Search subjects to find a card. A pending card is red; a submitted card is green. Submitted includes diary entries still awaiting approval. Teachers may edit their own entries for today; earlier dates are read-only. Changing the selected date shows completion statistics against current assignments. Existing approval and notification settings still apply when a diary is saved.

In Owner App → Menu → Diary → Teacher diary percentages, teacher rows show submitted versus assigned diary obligations and a completion percentage. Multiple submissions for the same assigned subject and class count once for that day. A teacher with no assignments has no percentage, rather than a misleading zero. Completion records submission, not approval or a guarantee that parents saw the entry.
