How do we set up QR attendance for a campus, and where do we enter the QR app's device ID so its scans are accepted?

QR attendance is a phone running the QR Attendance app (Play Store: https://play.google.com/store/apps/details?id=com.developer.attendence) that scans the QR code printed on student and employee cards. The web side is Admin › QR Biometric Attendance: it holds the list of phones allowed to scan and the Present / Late / Absent rules. A new campus needs nothing more than its own phone added to that list — the settings are for the whole school.

Steps

  2. Read the Device Id the app shows in red on its home screen after login. It is a short code the app takes from the phone itself — you do not choose it and you never type it into the app.
  3. On the web open Admin › QR Biometric Attendance and put that code in QR Device ID (comma ',' seprated). Several phones — a second campus, a spare handset — go in the same box separated by commas. Press Save Settings. This is what registers a phone for QR attendance.
  4. On the Students and Staff cards choose Send SMS using (EDUBase Android SMS Application / Branded SMS / WhatsApp SMS), tick Only Absent SMS if wanted, and set Mark Late After and Mark Absent After … Minutes of decided time. Save again.

Automatic absent marking (auto-absent)

  • A student (with their class ticked under Auto-Absent Classes) or staff member (with Employee Auto Absent ticked) who has not scanned by their shift In time plus Mark Absent After minutes is marked Absent automatically.
  • The auto-absent job checks about every 15 minutes between 6:00 AM and 9:00 PM, so absentees are recorded promptly after each shift's grace period expires.
  • Unmarked students remain Present on Take Attendance until the auto-absent pass runs; read the real absentee list on Exam & Attendance › Absentees. Staff absentees appear on HRM › View/Update Attendance.

Where to put the device ID (device ID kahan enter karni hai)

Only into the QR Device ID box on Admin › QR Biometric Attendance — nowhere in the app, and no form to send to support. If you do ask support to check a phone, a screenshot of the app's home screen showing Device Id: … is what they need, because that code says which handset is scanning.

Why a scan is refused (attendance mark nahi ho rahi, lag nahi rahi)

  • "This Device Is Not Allowed For Marking QR Attendance!" — that phone's Device Id is not in the QR Device ID box, or is spelt differently. A new or replaced handset has a new ID and must be added.
  • "Student Shift In or Out not found!" / "Student Decided time In or Out not found!" — the student's class has no In/Out shift for that weekday on Exam › Manage Shifts.
  • "Please Set QR APP Settings First!" — the settings screen has never been saved; open it and press Save Settings once.
  • "Student not found, or maybe Inactive!" — the card belongs to a student who is no longer active.
  • "Attendance Already Marked for this time!" — an employee card was scanned twice in the same minute.

A scan the app accepts — attendance lag gayi — appears as marked on View/Update Attendance and in the Attendance Summary; that is the confirmation the setup works.
