How do I record why a student left, and see that reason in the Inactive Student Report?

The reason is written when you change the student's status away from Currently Enrolled, and it shows in the Left Reason column of the Inactive Student Report.

One student — Update Student

  1. Open Admissions › Manage Students, find the student and open Update
  2. Under Current Status choose Left (or Expelled, Suspended, Graduated)
  3. A red Reason box appears — pick Relocation, Fee issues, Other school, Struck off (non-payment), or Other and type the reason in your own words
  4. Fill the Date of Leaving and press Update

The Update button stays grey until a reason is chosen.

Many students — Bulk Update

  1. In Manage Students (or All Students) tick the students and press Bulk Edit
  2. Choose the new status under Select Status
  3. Type the reason in Reason/Notes (up to 120 characters) and press Update

The same reason is saved for every selected student.

Seeing it in the report

Open Reports › Inactive Student Report, pick the dates, and read the Left Reason column next to Status. A preset shows as its name (Fee issues); a typed reason shows exactly as written. You can filter the column by typing a word, and it is included in the PDF and Excel export.

Good to know

  • Students who left before a reason was asked for show - in the column. To add one, open the student's Update, keep the status as it is, choose a reason and save
  • Before 24 Sep 2026 the Bulk Update Reason/Notes box was not saved — reasons typed there before that date are not on the record
  • If you had already arranged the report's columns, the new column still appears; hide it from the grid settings gear if you do not want it
