How do I move or shift a few selected students — not the whole class — to another campus, class or section with Batch Transfer?

Where in EDUBase: Extras › Students By User › Batch Transfer

Last updated

Batch Transfer on a student list moves the students you have ticked to a new campus, class, section, session or fee plan in one go. It is for a handful of children — kuch bachay dusri class ya section mein shift karne hain — while a whole class going up a year is done on Extras › Batch Transfer/Promote Students instead.

Steps

  1. Open Extras › Students By User or Admissions › Admission Queries
  2. Tick the students to move — the Batch Transfer button stays grey until at least one row is ticked
  3. Click Batch Transfer; the Transfer Students To form opens
  4. Choose the destination Campus, then Class and Section, and if they should change, the Session and Fee Plan
  5. Click Update — you are returned to the list

Only what you fill in changes

Any box left empty is left alone. Pick just a section and only the section moves; pick a fee plan and only the fee plan changes. Leaving everything empty is refused — at least one destination is needed. Class and Section are listed for the Campus you chose, so choose the campus first.

Where the button is

  • Extras › Students By User and Admissions › Admission Queries open this ticked-rows form.
  • On Admissions › Manage Students and Extras › All Students the button reads Batch Transfer / Promote and opens the Class Transfer screen instead, where you can also tick individual students in the top table but must fill in all five destination fields. The ticked-rows form still exists under those two lists, but has no button of its own today.

Full classes hold for approval

If your school has set a seat limit on Core › Admission Capacity and switched the hold on, a move into a full class still happens, but the children past the limit are marked as waiting for approval and released from Admissions › Admission Approvals. The message on screen says how many moved and how many are held. Only the destination is checked — leaving a class is never refused. Schools with no capacity set see none of this.

Good to know

  • Every move is written to each student's Change Log, marked Bulk edit, with the old and new value.
  • A class change also marks the child as due for the next yearly fee increment run — the fee itself does not change until that increment is applied.
  • Status, gender, group and house are not on this form — use Bulk Edit on the same list for those.
