Three reports, and together they are your roll movement:
- New Admissions Report — how many new admissions there were, and who they are, over any date range. This is the report for is month kitne naye admission hue
- Inactive Student Report — who has been marked inactive, i.e. left. This is the report for kitne students school chor gaye
- Student Distribution Summary — how many students sit in each class and section now
None of these three counts money. If you want how many students paid, that is a fee report, not a roll report — see Admissions › Student Wise Fee Status.
How many new admissions this month
Open New Admissions Report, set the date range to this month, and the count is the number of new admissions in it. Set it to a term or a year for the same answer over a longer period. Every row is one child who joined in that window.
How many students left
Open Inactive Student Report. Everybody a school has marked inactive appears there with the date, so the count over a range is how many students left the school in it.
Reading them together
New admissions minus leavers explains a change in strength. If the distribution summary has moved and neither of the other two accounts for it, something else happened — usually a promotion, or students moved between sections.
Strength on a past date
If you need the roll as it was on an earlier date rather than today, use the Daily Snapshot Report under Finance. It reads the frozen roster for that day. Reports that count today's status will show today's number however far back you set the date — which is exactly the trap that made historical attendance percentages move.
Leavers should be inactive, not deleted
A child who has left is marked inactive on their record. That keeps their fee history and results, lets you issue a certificate later, and takes them out of attendance, defaulter lists and strength counts. Deleting the record loses all of that, and the Inactive Student Report is what makes leavers reviewable afterwards.
Common confusion
"Our strength looks too high." Leavers who were never marked inactive are still being counted. The Inactive Student Report, compared against what the office knows, is how you find them.
"A new admission is missing." Check the date range, and check they were entered as a student rather than left sitting in Admissions › Admission Queries — enquiries are deliberately not counted anywhere.
