Can we set a limit on how many students a class or section can take, so admissions stop when it is full?

Yes. Core › Admission Capacity sets a seat limit for the whole school, a campus, a class or a section, and Dashboard › Admission Capacity shows campus-wise total capacity, admissions completed and seats remaining.

When a scope is full the admission is not refused — the student is saved and held for approval, and appears in Admissions › Admission Approvals with Allow and Refuse. The school owner can also release a held admission from the Owner App.

Nothing changes until you set it up

Two things must both be true before a single admission behaves differently:

  1. the hold switch on the Admission Capacity screen is ticked; and
  2. a capacity number is set that actually covers that child.

Every school starts with the switch off and no capacity rows. A school that sets nothing sees no change at all. You can fill in the numbers and leave the switch off — you then get the screen and the dashboard report and no gate whatsoever, which is the safe way to look before you leap.

The rows do not add up — the most specific one wins

A limit can be set at four levels: whole school, campus, class, section. They are not added together. The most specific row that covers the child is the one that decides.

So a section capped at 11 stays capped at 11 even if the school-wide row says 9999. And a different section of the same class, with no row of its own, falls back to the next level up.

Per academic year, or standing

Each academic year gets its own column. A row with no year is a standing capacity — "whatever the year" — and that is the ordinary case, because most schools have no academic year row set. Where both exist, the active year's number wins.

🔴 The limit applies on every way a student can arrive

Not just new admissions. All of these consult the same limit:

  • a new admission on the admission form
  • Add Bulk Students
  • Bulk Import — both a file that adds students and a file that moves them
  • editing a student's campus, class or section on the admission form
  • Class Transfer / Batch Transfer (Promote Students)
  • putting a student back to Currently Enrolled after they were marked left or struck off

How a transfer is measured

A transfer is measured against the class the students are moving TO, and only that class. The class they are leaving is never checked, so emptying a full class is never stopped.

Students are never counted twice. Moving students within a class, or re-saving a student without changing their class, is always allowed even when the class is completely full.

A batch that does not fit is partial, not refused

If the destination has room for some but not all of them, everyone is moved and the ones past the limit are marked as waiting for approval. Five students moving into two free seats: all five move, the last three queue. Nothing is refused and nothing is lost.

The same is true of Add Bulk Students. Class Transfer prints the message in amber and leaves it on screen rather than clearing it after a couple of seconds, because it is the one message somebody has to act on.

Held students are not counted yet

A held student does not count towards the seats filled. Once you press Allow, they do — deliberately taking the class over its limit, because you said yes.

Refuse deletes nothing. It marks the hold refused and leaves the child in Manage Students.

Pressing Allow twice is harmless; the second press just says the hold has already been decided.

Two separate permissions

Setting the limit and letting a child past it are different jobs, so they are two different permissions:

  • Admission Capacity (under Core Settings in Users & Privileges) — the setup screen
  • Admission Approvals (under Admission) — the queue

On the day this was released nobody at a school held either one, including the school's own admin login. Ask your administrator to grant them in Users & Privileges.

Common confusion

"The dashboard total is more than the sum of the campuses." A whole-school limit is a separate limit, not the sum of the campus limits, and it is reported on its own line. Where a campus figure is built from class and section rows it says so.

"I set a capacity but admissions still go through." The hold switch is a separate tick from the numbers. Check it is on, and check there is a row that actually covers that campus, class and section.

"The class was already over the limit before I set it." Setting a limit below the current strength does not remove anybody. It only holds the next arrivals.
