Use Extras › Batch Transfer/Promote Students (page title Class Transfer — Promote Students). This is the screen for poori class ko upar karna — every child of a class goes to the next class, session and fee plan in one pass. It has two halves: the students you are moving from, and where they are going to. Its subtitle says it: promotes only Active Students and carries forward all records. The same screen opens as Batch Transfer / Promote on Manage Students and All Students; to move only a few ticked children between sections, see the Batch Transfer article.
Steps
- Go to Extras › Batch Transfer/Promote Students
- In the top panel choose who to move — Campus, Session, Class, Section, Fee Plan — and press Load Active Students; check the Active Students count
- Tick the students in the Active Students table (the header tick takes the whole page)
- In the lower panel set the destination — New Campus, New Session, New Class, New Section, New Fee Plan (all five required; one session and one fee plan only) — and press Preview Promotion to see Students Ready to Promote, FROM → TO, and how many students already sit in that destination
- Press Confirm & Promote — the message reads Students promoted successfully
Changing the session — for example 2025-26 to 2026-27
Promotion is where students' session changes — bachon ko naye session mein shift karna: filter the old session in the top panel and set New Session to the new year. The new name must already exist on Core › Sessions; adding it there changes nobody's session — this screen (or Bulk Edit → Select Session on a student list) is what writes it onto the students. Moving class, session and fee plan together avoids a second sweep.
Only active students move
The screen lists only Currently Enrolled students. Anyone marked inactive is left where they are, which is what you want for leavers — but a student wrongly marked inactive is quietly skipped.
If the destination class is full, some of them wait for approval
If your school has set a seat limit under Core › Admission Capacity and switched the hold on, a promotion into a full class does not fail — everybody moves, and the ones past the limit are marked as waiting for approval (five into two free seats: all five move, three queue). The message says so in amber and stays on screen; release them from Admissions › Admission Approvals. Only the class they move to is checked. A school with no capacity set, or the hold off, promotes exactly as before.
Before you promote a whole school
Finish the current session's challans and results first — screens that filter by class follow the students immediately — and promote one class as a test before doing the rest.
A class was graduated by mistake — putting it back
Nothing is lost; set the students back to Currently Enrolled:
- Go to Extras › All Students (graduated students are no longer on Manage Students)
- Filter to that class and set the status filter to Graduated
- Select all those students and open Bulk Edit
- Change the status to Currently Enrolled and save
They are active again in the same class. Then run the promotion again with the right destination.
Common confusion
"Nobody appears in the top panel." The filters match no active students — most often the Session or Fee Plan filter is set to something those children do not carry.
"I marked class 10 Graduated first, and now promotion shows No Records Found." Graduated (or Left) students are no longer active, so the table is empty — there is no record to promote. If they should have moved up, set them back to Currently Enrolled first (Bulk Edit → Select Status, see students-002), then promote; if they really passed out, leave them Graduated.
"Their old challans moved class too." No. Issued challans keep the class they were issued with; that is why fee history still reads correctly after promotion.
"A few students should not have gone up." Move them back with the same screen, filtering to just that class and section; the return move is capacity-checked too.
