What each line tells you
Every time somebody adds, changes or deletes a record, one line is written here. It reads as a sentence — for example "naveed updated Student #6865 — Muhammad Ahmad: Student Name changed from Muhammad Ahmad to Muhammad Ahmad Shahid" — and it carries four things:
- How serious it is: Critical, Important, Normal or Routine.
- What happened, in words, with no technical names.
- Which record — the student ID or the record number, with the name.
- Go to it — a button that opens that record with the changed parts highlighted in orange.
What decides the seriousness

| Critical | Money or access changed after it was recorded, or somebody left. Deleted payments and challans, edited vouchers, changed salaries and discounts, new logins, changed privileges, a student marked as Left. |
| Important | A real record somebody edited: a student, an employee, a challan, a fee plan, exam marks. |
| Normal | Everyday work: diaries, notices, certificates, settings. |
| Routine | The system recording its own work: attendance being marked, app notifications, SMS logs. |
🔴 Recording money is not the same as changing money. A new fee payment is Important; editing or deleting one afterwards is Critical. That distinction is what makes the Critical filter worth reading — at a busy school it holds well under one entry in a hundred.
Hover the seriousness chip and it tells you why it was given that level.
Why most of the log is hidden when you open it
At a busy school roughly three quarters of these entries are the system marking attendance and queueing parent notifications. They are hidden when the page opens so the changes people made are on top. Switch on Include routine system entries to see everything — nothing is removed, it is only moved out of the way.
To find out who deleted something
- Set How serious to Critical only
- Set From and To to the day it went missing
- Read the lines — a deletion says so, names the record and the student, and names the person
A deleted record keeps its detail here even though the record is gone: press Details to see everything it held. There is no page left to open, so Go to it is greyed for a deletion.
Seeing a change for yourself
Press Go to it. The record opens in a new tab, a bar at the top says what changed, and the fields that changed are outlined in orange. If a field is not shown on that page, the bar still lists the change in words and says it could not point at it — so you always learn what changed, even where it cannot be highlighted.
Yesterday's summary, every morning
A one-line summary of the previous day arrives on the notification bell in EDUBase web and on the Owner App, and sits at the top of this page. It is sent only on a day worth checking — something critical, something deleted, or a lot of changes. A quiet day sends nothing, deliberately: a daily alert that is usually nothing is a daily alert nobody reads.
How long it is kept
Entries are kept for three months, then archived automatically overnight. Critical and important entries are kept in full — who, which record, what changed — and everything else is kept as a daily count of how much happened. Nothing you would come to this page to look for is thrown away, and there is nothing for you to clean up yourself.
Things people ask
- "It says System instead of a name." That entry had no signed-in user — a background job, a bulk import, or the parent or teacher app. It is marked System rather than guessing at a person.
- "The line says re-saved but nothing changed." The record was saved and no field a person would recognise moved — usually the system finishing its own reference number.
- "I cannot see this page." User Logging is governed by the Admin › Users privilege. A Super Admin can grant it under Admin › Users & Privileges.
