Which attendance apps and machines work with EDUBase — QR app, Face Attendance app, biometric machine — and how do we start using one?

Where in EDUBase: General › EDUBase App Links

Last updated

Yes — attendance can be marked without anybody ticking a register. EDUBase has three ways to do it, and all three write into the same student and staff attendance you already see on the web:

WayWhat it isWhere you get it
QR Attendance AppA phone scans the QR code on each student or employee cardPlay Store — link on General › EDUBase App Links
Face Attendance appA phone or tablet at the gate recognises the face (chehray se hazri); it also reads the same QR cards in the same camera viewDownload APK on General › EDUBase App Links (not on the Play Store)
Biometric machineA fingerprint / face machine bought by the schoolMust be a cloud-based machine — ask EDUBase support which models to buy

The same app cards are on the EDUBase Mobile Apps card at the end of your dashboard (Home), so you can download from either place. These apps come with your EDUBase service; there is no separate charge for them.

Face Attendance app — getting started

The face attendance app kahan milegi: on General › EDUBase App Links and on the dashboard's Mobile Apps card.

  1. On the Android phone or tablet that will stand at the gate, open General › EDUBase App Links (or the dashboard's Mobile Apps card), find Face Attendance and press Download APK. Copy link gives you the same link to send to whoever sets the phone up.
  2. Install it and sign in with your EDUBase username and password.
  3. Choose the campus and the gate this device is for.
  4. Enrol each student's and employee's face once in the app.
  5. Put the device on a stand at the gate — as people arrive, each face is matched in about a second and the app shows the name, In/Out, the time and whether they are late.

How many phones? As many as you want — every class incharge can install and sign in, or you can keep one or two phones on a stand at the gate in the morning, which is what most schools do. Each device appears under Admin › Face Attendance Gates, where you can name it (Main Gate In) and pause it.

Late / Present timing comes from the shifts and timings you set: students on Exam › Manage Shifts, staff on HRM › Manage Employees › Manage Time In/Out. Set those first, or everybody is judged against the wrong time.

QR Attendance App

Install it from the Play Store link on General › EDUBase App Links, add the phone's device ID on Admin › QR Biometric Attendance, and print QR cards (Extras › Student QR Code, or the student / employee card). The full set-up is in "How do we set up QR attendance for a campus".

Biometric (fingerprint) machines

A machine can be attached to EDUBase only if it is a cloud-based machine that sends its punches over the internet. A local machine that only stores punches inside itself (or on one office computer) does not integrate with the software. Before buying, ask EDUBase support in your group — they share the compatible models and the supplier's contact.

Where the marked attendance shows

Attendance from any of these — QR, face, biometric or the Teacher App — lands in the normal registers:

  • Exam & Att › Student Attendance › View/Update Attendance — every class and student already marked for the day (edit or delete here)
  • Exam & Att › Student Attendance › Take Attendance — shows only the students not yet marked for that date
  • Staff: HRM › Attendance › View/Update Attendance

A student who scanned in will therefore not appear on Take Attendance — look for them on View/Update Attendance.
