The same student appears several times for one day on View/Update Attendance — same date, same time. What causes it and how do we clear it?

Where in EDUBase: Exam & Attendance › Student Attendance › View/Update Attendance

Last updated

This is a repeat submit, not a data-entry mistake. It happens when the Save button on Take Attendance is pressed more than once before the first save has finished — a second click, a stuck mouse, or the same page open in two tabs. Each press sent the whole class again, and until 25 August 2026 the server had no way to tell the second copy from the first, so it wrote the class a second time. The copies carry the same date and the same time to the second, which is why they look impossible.

It is fixed. From 25 August 2026 the server accepts one save at a time per school and treats a repeat as "already marked" — pressing Save five times now writes one set of records. Nothing needs to be switched on.

Why the rows look identical even when they are not

On View/Update Attendance, the Campus, Class, Section and Session columns show where the student is enrolled today, not what is stored on that attendance record. Two records for the same child on the same day can therefore look identical in every column even when they were saved from different sections. This is also why the extra rows are hard to spot before a report is printed.

What it affects until the old rows are cleared

The fix stops new copies; it does not remove copies already saved. While they are there:

  • Attendance reports over-count. A child with three copies of one present day reads as three present days in the monthly and combined reports, and their attendance percentage rises.
  • The class summary over-counts too — "marked students" for a section can exceed the number of students in it.

How to clear them

  1. Open Exam & Attendance › Student Attendance › View/Update Attendance.
  2. Set From and To to the affected day (the same date in both).
  3. Filter to the class or the SID that shows twice.
  4. Tick only the extra copies — leave one row for each student — and press Delete Attendance.
  5. Re-check the day: each student should now have exactly one row.

For a whole school or many months, EDUBase support can clear the copies centrally. Ask support and name the school and the date range — they check each day first, because a day where the two copies disagree (one Present, one Absent) is a real question about your register and is never resolved automatically. Those are listed back to you to correct on this same screen.

How to avoid it

Press Save Attendance once and wait for the green "Attendance Saved Successfully" message. The button now disables itself while the save is running, and a second press is ignored. If the page seems stuck, reload it and check View/Update Attendance before saving again — the register may already be marked.
