How do I prepare Result Cards, print them, or download a PDF from Examination Reports?

Where in EDUBase: Exam & Att › Examination › Examination Reports

Last updated

Exam & Att (formerly Exam & Attendance) › Examination › Examination Reports is the one screen for every printed exam report, built from the marks already entered on the award lists. Filters at the top, Sort By under them, a card for each report type, and a Live Preview panel on the right. This article covers the Result Card and the Combined Result Card; each of the other cards has its own article, and every card refuses without a grading policy on the class.

Steps

  1. Enter the marks first on the award lists, and attach a grading policy to the class — every print report here refuses without one.
  2. Under Advanced Filters pick Result Type (Current Result = today's roll of the class; Historical Result = whoever actually sat the exams, including promoted or left students), then Campus, Class, Section(s), Test Type(s) and Exam Date From / To. All Test Types is one separate choice meaning every exam; to print one term, select that term by name. The dates start at the 1st of this month up to today; Session defaults to All Sessions. Apply Filters at the foot of the panel only applies them — it answers Filters applied! and creates nothing.
  3. Pick Sort By (Class Position, Section Position, Section Wise or SID Wise) and Order (Exam Date-wise or Subject Wise). Sort By is how students are listed; Order is how subjects appear in the body of every report (date of the exam first, or A→Z by subject name). Both pills apply to every report on this screen, not only the Result Card, and are remembered for the whole school.
  4. On the report's card tick the columns and blocks you want — Percentage, Grade, Remarks, Class/Section Positions, Grand Total Summary, Attendance Summary, Show Graphs, Show Final Remarks. These ticks are saved for the whole school too.
  5. Settings on the card holds the print settings — Portrait/Landscape, A4/Letter/A3, Scale %, Header Logo, Watermark, Student Photo, Footer Notes, Bar Graph or Performance Graph — kept on this computer, for your login only.
  6. Preview loads the report into the Live Preview panel; Generate opens it in a new browser tab. There is no Create button on this screen — those two buttons are how a report is made.
  7. In the Result Card or Combined Result Card tab press Print All; their Live Preview also has Print and Export PDF. Other reports' tabs have Print (some Export to Excel) and Open Full Report on the preview.

Set up the result card, then choose paper or a PDF file

The Result Card's column ticks and Settings prepare the output: choose the marks and summary blocks, paper size, orientation, logo and scale before opening the preview. They do not download a file by themselves.

For paper copies, use Print in Live Preview or Print All in the generated Result Card tab; this opens the browser's print dialog. For a result card download, use Export PDF beside the live preview. It creates a PDF file with the report's print settings (the Result Card export is named result-card.pdf), so a downloaded result card does not require uploading a Word layout. The same preview offers a separate PDF export for the Combined Result Card.

Printing the award list itself

The award list is the marks sheet, not a report, so it is not printed here. Open Exam & Att › Examination › Add Marks and SMS (or Update Marks and SMS): every award list row has its own Print button, beside Add Marks, Edit and Add New Student. That printed award list is the blank sheet a teacher carries into the exam hall while the exams are running. The award list sheet has a Hide or Show Branding button and tick boxes to hide the Reg No., Student Name, Father Name, Father Contact and Section columns before you press Print. On a combined Subject Wise award list a shaded cell with a dash means that child does not take that subject, so it is neither marked nor counted.

Result card print layout

A4 is the default for result cards. For a result card with 6–10 subject rows, the row spacing adjusts to the number of subjects, and the card fits the selected sheet with one student per page. Headers use Title Case and the same proportional font as the body; the table grid prints with dark borders. Extra branding, notes or graphs can reduce the print scale to keep the card on its page. The older Result Card and Combine Result Card printouts also fit each student to A4. Check the print preview before handing out copies.

Paper size

Result cards print on A4 by default; the card's Settings also offer Letter and A3, and portrait or landscape.

Attendance on the result card

The attendance shown on the card is a summary taken automatically from the attendance you mark (Take Attendance / Teacher App / QR / face). Mark attendance properly through the term and the summary fills itself.

If you want attendance to carry marks instead, one workaround used by schools: add a subject named Attendance with total marks 100, work out each child's attendance percentage and enter it as that subject's marks (or as a grade).

Result Card vs Combined Result Card

  • Result Card — one card per student, one row for every exam entry on the award lists, so a subject examined on three dates appears three times. Optional Exam Name, Exam Date and Oral & Written columns. Each student prints on their own page.
  • Combined Result Card — one card per student, but every exam of a subject inside the date range is added into a single row per subject, with a totals row, a Summary (percentage, grade, remarks, positions) and Academic Attendance Summary. Absent or Leave prints as F / Fail.

The header, body and footer of both come from Exam › Manage Brandings; the Header Logo and Footer Notes toggles only show or hide them.

The exam/term heading is different from Branding: it comes from the selected Test Type and is printed automatically above the marks. Do not rename the Branding header to “First Term” or “Final Term” for each run.

Common confusion

"Popup blocked." The report opens in a new tab — allow popups for this site.

"No data found." on the Result Card. Either the award lists in that date range hold no marks for those filters, or the class has no grading policy — the same message covers both. Term Wise and Month Wise say Class Grading Policy Not Set; the rest say No Grading Policy Associated With This Class!.

"The preview tab is empty after I refreshed it." The tab reads the report once, when it opens. Close it, go back and press Generate again.

"Data too large." Narrow the filters to fewer students and generate again.

"I selected First Term but another exam printed." Open Test Type again and select First Term by name. All Test Types is exclusive: when it is selected, the report includes every exam; when a named term is selected, only the ticked name(s) are included and their name is used as the report heading.

"I selected two exams and each subject appears twice." That is the Result Card's row-per-exam design: one subject row is printed for each selected test entry. It does not turn an older exam into a one-line total/percentage/grade summary. Use separate Result Cards, or use the Term Wise Report when the school has configured test-type weightages and needs a weighted final view.

"A promoted or left student is missing." Switch Result Type to Historical Result. Result History lists every class, exam and date window that has marks, and loads one into the filters.

"We need the blank marks sheets before the exams start." Print each award list as soon as it is generated — the marks are typed in afterwards, on the same list.

Department Wise Report is no longer on the grid; its preview page opens only to say No report parameters found.
