How do I create a datesheet for exams and print it?

Where in EDUBase: Extras › Date Sheet

Last updated

Extras › Date Sheet lists your datesheets. Create opens the form; each saved sheet has View (with a Print button), Edit, Delete and Publish to Parents app. A branded copy prints from Extras › Print Certificates or Date Sheets › Print Date Sheet.

Steps

  1. Extras › Date Sheet › Create.
  2. Date Sheet Name — must be unique across the school; a repeated name is refused. Date Sheet Title is the heading on the branded Print Date Sheet page (the plain View print shows the Name).
  3. Choose the Campus, then one or more Classes.
  4. Tick Check To Add Time In Date Sheet and/or Check To Add Syllabus In Date Sheet if you want those columns. Unticking later clears what you typed there.
  5. One row per paper: Subject, Exam Date, Exam Time, Syllabus and Type (Written, Oral, Oral+Written, Practical, Reading, Drawing/Coloring, Open-Book, Closed-Book, Multiple Choice / Objective, Essay / Descriptive, Project / Portfolio, In-Class Preparation, Off-Day). Use + to add a row and − to remove one; the last row cannot be removed.
  6. Save. Every row needs a subject or the form stops with Select a subject in every row.
  7. Print from the sheet's View (eye) — tick Hide Exam Time / Hide Syllabus if you want them off the paper — or from Print Date Sheet for the branded layout.

Printing the branded date sheet — step by step

  1. Go to Extras › Print Certificates or Date Sheets
  2. Select the students (or class)
  3. Leave Select Document empty — just choose your sheet in the box beside it, Select Date Sheet
  4. Press Print Date Sheet

Columns missing or the print looks cut

Use the date sheet Print action and review the preview. The printed header starts at the top even if you scrolled first. Choose the paper size and orientation that fit the sheet; headings repeat across pages and the syllabus stays included.

Subjects come from Subjects in Classes

The Subject dropdown offers only the subjects attached to the chosen class under Exam › Subjects in Classes. With several classes selected it offers only the subjects common to all of them; on save each subject is stored for every selected class that actually has it, so one sheet can serve two classes that sit the same papers. A sheet covers the whole class — sections are not chosen here.

Common confusion

"A subject is missing." It is not attached to that class — or, with several classes selected, not attached to every one of them.

"I cannot change the classes on Edit." The classes are fixed once a sheet is created; make a new sheet for a different class.

"Two papers on the same date." The datesheet does not prevent it. Check the dates yourself before printing.

"The roll number slip does not show the datesheet." Roll No. Slip (Extras › Roll No. Slip) prints only the slip name, date and exam time you type there — it does not pull the subject rows in. Print the datesheet separately and give both.

"Parents cannot see it." Press Publish to Parents app on the list; parents of every class on the sheet get a notification. Unpublish takes it back.

Printing after scrolling

Open Extras → Date Sheet → View → Print and review the print preview. The printed header starts with the date sheet even when you have scrolled down before opening Print. Multi-page sheets repeat the column headings and keep the syllabus. Choose the paper size used by your sheet; for a branded copy, use Extras → Print Certificates or Date Sheets → Print Date Sheet.
