The subject list is empty — why are subjects not showing on the date sheet, the award list or the marks screen?

Where in EDUBase: Exam › Subjects in Classes

Last updated

Every exam screen offers the subjects attached to that class, never the school's whole subject list. A subject that exists but has not been attached to the class you picked shows up nowhere in the Exam module — no date sheet row, no award list, no report column.

Where the subject list comes from

Exam › Subjects in Classes holds the class-to-subject links. Pick the Campus, one or more Classes and the Subjects, and press Create — every class × subject combination is attached in one go, and a link that already exists is skipped. The table below it lists Campus, Class, Subject and Grading Type, so you can read off which subjects a class actually holds today. One class holds as many subjects as it studies, and one subject can be attached to as many classes as study it.

Why the list is empty on your screen

  • The subject is not attached to that class. The commonest cause by far: the date sheet, the award list, marks entry and the examination reports all read these same class-subject links.
  • A date sheet covering several classes offers only the subjects common to all of them — one class missing that subject empties it for everybody, and the dropdown reads No subject Selected.
  • You changed the campus or the class afterwards. Both clear the subject list and any subject already picked in the rows, so choose campus and class first, then the subjects.
  • The subject was created for another campus. Subjects in Classes is per campus; check the campus at the top is the one you are working in.
  • The subject does not exist yet. Create it on Exam › Subjects (it must belong to a subject group), then attach it here.
  • On the class-grid reports only marks-based subjects are printed, so a conduct-style graded subject is missing there by design.

Steps

  1. Open Exam › Subjects in Classes
  2. Choose the Campus, then the Class whose subject is missing
  3. Tick the Subjects that class should hold and press Create
  4. Go back to the date sheet, the marks screen or the report — the subject now shows in its subject list

This article is about a subject that does not appear at all. A subject that appears but is locked and reads Not assigned on a combined award list is a different thing — see exams-015.
