Why a cell says "Not assigned" and cannot be filled
This happens on a combined award list whose Student Filtering is Subject Wise.
A combined list covers several subjects at once, and a student appears on it if they take any of them. So a child who takes English but not Poem is on the list because of English — and the Poem column is not theirs to fill.
That cell is therefore:
- locked, showing Not assigned; and
- left out of that child's total entirely — it is not scored zero.
🔴 Excluded is not the same as zero. A subject a child does not take is unscoreable. Scoring it 0 would drop them below every child who actually sat it, in every report that ranks. The subject is dropped from both sides of the total, so each student's total is worked out only over the subjects they actually take.
What to check if a lock looks wrong
The lock reads the subjects linked to the child. Fix what a student takes in Exam & Att (formerly Exam & Attendance) › Subject Allocation — it shows every child of a class with their subjects as tick boxes on one grid, so a class whose subjects were never filled in can be corrected in one pass. It needs the Subject Allocation permission.
It only applies where it should
- Class Wise lists are never locked. A Class Wise list is the office saying "everyone in this class sits all of these", and it has never consulted the subject links.
- A child with no subjects filled in at all is never locked. "This child takes nothing" and "nobody ever filled this in" are different facts, and only the first locks a cell.
A mark that was already there
If marks were entered before subject allocation was applied, an existing mark on a now-locked cell is shown struck through and read-only rather than hidden. It is still counted in the reports until the subject is removed — hiding it would be the lie. Removing it is what the next section is for.
Removing one subject from an award list that already has marks
Open Edit on the award list and press Remove subject beside the subject you want gone. This works even after marks have been entered — including from Update Marks and SMS, where every other field is locked.
- The row tells you how many marks are entered against that subject.
- The dialog names the subject and the count before anything is destroyed. Keep it is the safe button.
- Those marks are gone from every exam report immediately, and cannot be recovered.
The old way no longer works, on purpose
You can no longer remove a subject by deleting its row on the edit form and saving. That used to move every mark above it onto the wrong subject, silently. It is now refused.
Once any marks exist on a list, saving the edit form will also refuse to reorder or swap existing subjects, for the same reason. Adding a subject on the end is still allowed — a new slot moves nothing.
The grid always claimed this ("Award List is editable for Basic Information — T.Marks, Date, T.Type — after entering Marks"); it simply was not enforced before.
Common confusion
"The total does not match what I add up by hand." On a combined Subject Wise list it will not, if the child has a locked subject. Their total covers only the subjects they take.
"I removed the subject but the report still shows it." Reload the report. The marks are removed at the moment you confirm; a report already on screen was built before that.
"Can I get the marks back?" No. That is why the dialog names the count first.
