Exam › SMS Template holds the wording of every automatic message EDUBase sends about a student — one set of templates per campus. Change the text here and every message sent afterwards uses the new wording; the result SMS parents get after an exam, the daily attendance message, the challan and admission messages are all written on this one screen. Staff messages are a different screen (HRM › SMS Templates).
Steps
- Open Exam › SMS Template. It lists your campuses; press the pencil on a campus.
- The editor shows the tag lists at the top (Campus, Student, Exam, Challan, Current Challan, General). Click a tag to copy it, then paste it into a template — it is replaced with the real value when the message is sent, e.g.
[studentName],[className],[ObtMarks],[payable]. - Fill the boxes you use. They are grouped as Marks (Individual Marks, Subject Combined Marks, Combine Marks — the result SMS parents receive on the father's, mother's or student's number when marks are sent from Add Marks and SMS), Attendance (QR Attendance, QR Absent, Absent, Present, Late, Leave, Short Leave, Off Day, Death Leave, Paper Leave, Sandwich Leave), Admission (Admission Query, New Admission, Left/Expelled Student, Challan Generated, Challan Paid, Fee Defaulters, Student Birth Day, Date Sheet, Roll No. Slip, Parents App OTP) and General SMS 1–3.
- Press Update. All boxes are saved together, for that campus only.
Common confusion
- "The result SMS that goes to parents is wrong — change its text." Open the campus here, edit the Marks templates and press Update. The wording parents receive is whatever is saved on this screen for their campus; nothing on the marks screen changes the text.
- An empty box means that message is silently not sent. Sending marks, attendance or a fee-defaulter reminder reports nothing wrong; there is simply no text to send. Fill the template first.
- Marks templates: Individual Marks sends one SMS per subject. Subject Combined Marks repeats whatever sits between
[subjInfo]and[subjInfoEnd]once per subject, then fills[TotalMarks],[ObtMarks],[percentage]. Combine Marks sends only the totals. Both combined types take[grade]and[remarks]from the class's grading policy (Exam › Class Grading Policy) — a class with no policy gets no marks SMS at all. - Choosing the result format when sending: the Send result SMS window — opened by Save & Send SMS on Update Marks and SMS and by the SMS buttons on View Marks and SMS — sends these saved Marks templates as written, or the built-in Exam Alert — points or Short — one line layouts instead. Whichever format, a student marked absent or on leave is written as Absent / On leave, never 0 — e.g. "Absent in the English test held on 2026-07-08 in CT-3."
- Multi-campus schools: the marks SMS and the QR-attendance SMS use the templates of one campus only — the campus whose templates were saved first — for every student. Manual attendance, admission, challan and general messages use the student's own campus templates.
- QR Attendance template:
[qr_att_status]becomes Present/Late/Absent and[qr_in_status]becomes "On Time", "12 minutes Late" or "5 minutes Early". [parentsAppOTP]— on a school using rotating login codes the whole line holding this tag is dropped from the message; the rest still goes out.
