How do I give or change the subjects of a whole class at once with Subject Allocation, instead of opening every admission form?

Where in EDUBase: Exam & Att › Examination › Subject Allocation

Last updated

Exam & Att (formerly Exam & Attendance) › Examination › Subject Allocation shows one class as a grid — one row per student, one tick box per subject — so the office can set every child's subjects side by side. It writes the same "subjects" the admission form writes, so the two screens never disagree.

Steps

  1. Choose Campus and Class (Section is optional — leave it as Whole class).
  2. Students defaults to Currently enrolled; pick All students (including left) to fix a leaver's record.
  3. Press Show.
  4. Tick a subject to give it to a child, untick it to take it away. A row that differs from what is saved shows an edited badge.
  5. The box in a column header ticks that subject for every row currently shown; the All box on a row gives the child every subject of the class (unticked, it clears the child completely).
  6. Press Save Changes (N) — N is how many students will be written.

What Save actually writes

  • Only the rows you edited, and each of those as a whole list: whatever is ticked against a child becomes their subjects; an unticked subject is removed. Untouched students are not rewritten and do not appear in the student change log.
  • Ticking a box and unticking it again is not an edit — the row drops out of the count.
  • The save is all-or-nothing. If any student on the list has since moved to another class, or a subject is not attached to the class, nothing is saved and the message tells you why.
  • This is the only screen that can leave a child with no subjects at all — the admission form keeps the old value when the selection is empty.

Only the class's own subjects are offered

The tick boxes are the subjects attached to that campus + class under Exam › Subjects in Classes. If the class has none, a warning says there is nothing to allocate. A subject a child carries that the class no longer offers is shown ticked with a warning mark: you can remove it, but you cannot give it back or give it to anyone else.

Common confusion

"Save Changes is disabled." Nothing has been changed yet, or you do not hold the update right for this screen — then the boxes are disabled too and the grid is read-only.

"The header tick did not touch students on other pages." The header boxes act only on the rows shown right now (current page and search).

"I pressed Show for another class and my ticks vanished." Changing the dropdowns alone keeps your edits; pressing Show with unsaved edits asks first, then discards them — save before you switch.

"It said 'No changes to save.'" Every row you sent already held exactly the ticked subjects, so nothing was written and nothing was logged.
