The Student fee sheet is available to every institute. A staff member can open it when the school administrator has granted Admission → Student Fee Sheet for that person's campuses in Staff privileges. Without that grant the screen stays hidden. EDUBase can switch the sheet off for an institute in its module settings, and the school's own administrators control who sees it.
Sign in, select the institute, then open Admission → Student fee sheet. Your campus scope applies: you only see the campuses you are permitted to work in. The sheet does not grant admission, fee-plan editing or payment permissions; those stay with their own screens.
Choose a campus, class and year. Search by student, father or contact. The student's name stays visible while you scroll through the months. The rows show currently enrolled students, their current class, admission date and current tuition fee plan. Monthly amounts come from standard generated challans; they are not a second spreadsheet database.
Each month shows challan slip numbers, paid amount, latest payment date, remaining balance and the standard A.C. charge. Multiple installments and partial payments are added together. Discounts reduce the remaining balance. No challan means no challan was generated for that month; it does not mean the student paid or owes nothing. Restricted users only see challans within their permitted campuses, including after a student transfers campus.
The overall summary cards cover all currently enrolled students matching the selected campus, class and search, across the full selected year. Moving to another page does not change that scope. Hiding month columns does not remove those months from the yearly summary. Changing a filter or the year refreshes the cards. The tuition summary uses the matching students' current tuition plans, rather than amounts on historical challans. Students with no fee plan are shown explicitly as missing a plan; they are not treated as having a confirmed zero tuition fee.
The initial month layout shows the campus's recorded challan months for the selected year, plus the current calendar month when you select the current year. Choose a different year to review that year's records. Managing the shared month layout needs the separate privilege Admission → Manage Student Fee Sheet Months for the campus. With it, you can add a calendar month to the columns, hide a month, or restore it, then save the shared layout. Each month uses the same slip, paid amount and payment date, remaining balance and extra-charge columns. Adding a month adds a place to view data; it does not generate a challan, record a payment or change any fee amount. Hiding a month only hides its columns.
To hide a month, click Hide beside its name in the table's month header. That whole month's column block disappears immediately as an unsaved preview. The month moves to the separate Hidden months row in the Manage months card above the table. That row lists only hidden months; visible months are not repeated there. Click Restore beside a hidden month to show its column block again. Use Add month in the same card to add another calendar month.
Hide, Restore and Add month change the preview first. Click Save month layout to persist those choices for the shared campus and year. Until you save, other staff keep seeing the previously saved layout; an unsaved preview does not replace it. The yearly summary totals still include hidden months and do not change when you hide or restore columns.
The saved layout is shared for that campus and year, so colleagues with the sheet privilege see it too. Admission → Student Fee Sheet is the read privilege and Admission → Manage Student Fee Sheet Months is the layout privilege; viewing the sheet alone does not allow changing its shared layout. If someone else saves the layout while you are editing, refresh and review their latest layout before saving your changes again. Do not assume an older edit will replace their choices.
Use Add student, Edit student, Fee plan and Payments to open the existing EDUBase forms. Those forms keep their current permissions, discounts, receipt generation and accounting rules. Refresh the sheet after saving a change. The normal fee pages remain available.
Changing a fee plan does not rewrite a challan that was already generated. The monthly tuition column shows the current plan; old monthly amounts come from their original challans. If the screen is missing, ask your school administrator to grant Admission → Student Fee Sheet for your campuses in Staff privileges. If only the month controls are unavailable, you need the Manage Student Fee Sheet Months privilege; if they stay unavailable with it, ask the EDUBase team to check the institute's month layout storage update.
